IT procurement and lifecycle management, from specification to disposal
IT procurement is the buying of hardware, software and services against a plan, a budget and your organisation's supply-chain rules. Arke Technologies runs it for organisations across South Africa from Johannesburg: we specify, source, configure, deploy, track and refresh your equipment, then dispose of it securely at the end of its life.
The IT asset lifecycle, stage by stage
Every device, server and licence passes through the same IT asset lifecycle; managing it as one process, not a string of separate purchases, keeps costs predictable and audits clean.
01.
Plan
Refresh dates, budgets and standards per asset class, aligned with your financial year and, for public bodies, the budget cycle.
02.
Specify
Standard configurations for staff laptops, learner devices, servers and network equipment, so purchases are comparable and supportable.
03.
Source and buy
Quotes compared on specification, warranty, lead time and total cost of ownership, then bought through your approval process.
04.
Deploy
Devices imaged, enrolled in management, asset-tagged and delivered ready to use (end-user computing).
05.
Track and maintain
Each asset recorded against its user, location, warranty and licences, with repairs and moves logged (device and IT asset management).
06.
Refresh
Replacement triggered by age, warranty, end of support or performance, before failures force it.
07.
Dispose
Data destroyed, the asset retired from the register and the hardware reused or recycled, with a record for your auditors.
What our IT procurement service covers
Hardware through Server Hub. Our hardware division lists more than 26,000 products, typically quotes within a few business hours, prices in rand with VAT included and backs each priced quote line with a dated, verifiable source. Equipment is configured and bench-tested before dispatch, with a local warranty of 12 months on new and certified refurbished units and 90 days on pre-owned, in addition to Consumer Protection Act rights (Server Hub).
Software and licences. Microsoft 365 and Google Workspace licences, monthly or annual, and server and application licensing, reconciled to what is used (software licensing).
An asset register you own, with each asset's serial number, user, location, cost, warranty and support dates, and assigned licences.
Warranty and support tracking, with expiries flagged early so renewals and replacements are decisions, not surprises.

Choosing IT vendors, and buying at the right time
We compare IT vendors and manufacturers on what matters over the asset's life: specification, warranty terms, local parts and support, lead time and energy use, not purchase price alone. Where a recommendation includes something Server Hub supplies, the proposal says so, and you remain free to buy elsewhere.
Timing matters more than usual. The three largest memory makers have their supply booked through 2027, which is pushing up server, PC and storage prices and lead times, and some buyers now pay deposits to secure allocations (Memeburn, reported by Server Hub, August 2026). So we plan refreshes further ahead and specify memory to the workload rather than over-provision it; Server Hub's briefing on the global memory shortage (opens serverhub.co.za) has the detail. Green ICT follows the same logic: efficient equipment, longer device lives and responsible recycling.

Your IT asset lifecycle management policy
An IT asset lifecycle management policy turns good intentions into rules that staff and auditors can check. We draft it with you, covering:
Scope: the assets tracked, from laptops and learner devices to servers, network equipment and licences.
Roles and approvals: who may request, approve and receive equipment, within your delegations of authority.
Standards and refresh rules: approved configurations, allowed exceptions and the replacement triggers for each asset class.
The register: the fields kept for each asset, and how often it is reconciled with a physical count.
Loss and theft: how a missing device is reported, locked and wiped.
Disposal: approved methods for data destruction, reuse, donation and recycling, and the evidence kept.
The policy runs through documented IT asset lifecycle management processes, from request, approval and purchase to tagging, audit and disposal, each with an owner and a record. That is the evidence a board applying King IV, a public-sector audit or a school governing body asks for; our IT governance service writes the framework around it. Each monthly service review then reports what was bought, deployed, repaired and retired, the warranties and support dates falling due, and any asset the register cannot account for.
IT infrastructure lifecycle management
Servers, storage, switches and firewalls have lifecycles too, with longer lives and costlier failures. IT infrastructure lifecycle management tracks each item's warranty, firmware, support dates and capacity, and schedules replacement before any of them runs out. Often software forces the decision, as end of support has for every Windows Server 2012 machine (Windows Server upgrades); the replacement estate is then run under server and infrastructure management.

IT asset disposal that protects your data
IT asset disposal is where data leaks are easiest to miss: a laptop, server or copier that leaves with its storage intact can put personal information in the wrong hands, and POPIA requires reasonable measures to prevent that. Our process:
01.
The asset is retired in the register and removed from device management, and its licences are reclaimed.
02.
Storage is securely erased, or physically destroyed where erasure cannot be verified.
03.
Each serial number is recorded against the method and date, and the record goes to your audit file.
04.
Working equipment is reused where your policy allows; the rest is recycled as e-waste, not sent to landfill.
This follows the secure disposal and re-use control of ISO/IEC 27001, to which our controls are aligned.
Buying for the public sector and schools
Supply-chain rules. Quotes in the form your process needs, from written price quotations to formal bids, within PFMA or MFMA supply chain management rules (PFMA, MFMA and ICT procurement).
Supplier documents. Level 1 B-BBEE contributor (sworn affidavit available on request), which gives buyers 135% procurement recognition; company documents, a bank confirmation letter, our CSD supplier number and SARS tax compliance status on request; SBD forms completed when a bid requires them (procurement and compliance).
Schools and colleges. Learner devices, staff laptops and interactive displays bought through one process that governing bodies can approve and audit (IT for education).
Registered since 2017. Arke Technologies (Pty) Ltd (registration number 2017/386810/07, VAT number 4750287957) is the same company that has traded since 2017 as Fibre Boyz, with a fresh brand and an expanded mission.
What IT procurement costs
26,000+
products in the Server Hub catalogue, priced in rand with VAT included
R180–R400
published managed IT rates per user per month (matnet.co.za, September 2026)
Hardware and licences are quoted item by item, in rand with VAT included, so each purchase is approved on its merits. The total is driven by the specification, the quantity, the warranty term and the timing of the order. Lifecycle management sits inside our managed IT services, priced per user per month after an assessment, and large rollouts are quoted per project (managed IT pricing). Last reviewed: September 2026.
Continuity: the records stay yours
The asset register, policy, disposal records and warranty documents belong to you, can be exported at any time and are handed over in full if you change provider. The same register and process carry from one site to many as you grow, and nothing about your estate is locked inside our systems.

Frequently asked questions
What is IT procurement? Show answer Hide answer
IT procurement is the buying of an organisation's hardware, software and IT services: defining the need, specifying it, comparing IT vendors, buying within approval rules and receiving the goods. Done well, it is one stage of a planned lifecycle rather than a string of urgent purchases, and that is how we run it.
What is IT asset lifecycle management? Show answer Hide answer
IT asset lifecycle management is the tracking of every device, server and licence from planning and purchase, through deployment, maintenance and refresh, to secure disposal. It tells you what you own, where it is, who uses it and when it needs replacing, and gives auditors a complete record from purchase order to disposal.
What should an IT asset lifecycle management policy include? Show answer Hide answer
An IT asset lifecycle management policy should include its scope, roles and approval limits, approved standards, refresh triggers, the asset register and its reconciliation, loss and theft handling, and approved disposal methods with the evidence to keep. It should name an owner for each process and be reviewed every year.
How do you dispose of old IT equipment securely? Show answer Hide answer
We retire the equipment in the register, reclaim its licences, securely erase or physically destroy its storage, and record each serial number against the method and date. Working equipment is reused where your policy allows and the rest is recycled as e-waste, so no personal information leaves with the hardware.
Should we buy hardware now or wait for prices to fall? Show answer Hide answer
For critical systems, buy on a planned schedule rather than wait: the three largest memory makers have their supply booked through 2027, pushing server, PC and storage prices up and lead times out (Memeburn, reported by Server Hub, August 2026). We plan refreshes further ahead and specify memory to the workload, so budgets hold without over-buying.
Can public bodies and schools buy from Arke? Show answer Hide answer
Yes. We quote to your supply chain management process, from written quotations to formal bids, and supply the documents procurement needs: our Level 1 B-BBEE affidavit, company documents, a bank confirmation letter, our CSD supplier number and SARS tax compliance status, with SBD forms completed when a bid requires them.
Plan your next refresh, not your next emergency
Tell us what you run and when it was bought. We will return a refresh plan, a draft lifecycle policy and a costed schedule in writing.
