Selection and implementation

Legal practice management software runs a law firm's matters, time, billing and trust accounting. Arke Technologies, in Johannesburg, helps South African law firms and in-house legal teams choose it, integrate it with accounting and documents, protect privileged data and FICA records under POPIA, and support every user under one SLA.
Legal software is any application built for the work of practising law: opening and running matters, recording time, billing clients, keeping trust money, drafting and storing documents, and meeting regulatory duties. Because the legal software definition is so broad, it helps to separate the types of legal software before you compare products.
| Type of legal software | What it does | Who uses it |
|---|---|---|
| Legal practice management software | Clients, matters, diaries, time recording, workflow and reporting in one system; the practice manager's core tool | Attorneys' practices of every size |
| Legal accounting and bookkeeping software | Business and trust ledgers, trust reconciliations, fee notes, disbursements and the records the trust audit needs | Bookkeepers and finance teams |
| Legal billing software | Time and fee capture, legal invoicing, bills of costs, and e-billing formats for corporate clients | Fee earners and billing clerks |
| Legal case management software | Litigation matters, court dates, a timeline of events, pleadings and bundles | Litigation departments |
| Conveyancing legal software | Transfer and bond steps, lodgement, transaction management and client updates | Conveyancing departments |
| Legal document management software | Precedents, version control, search, email filing, contract redline and comparison | Every fee earner |
| Legal research and legal database software | Case law, legislation and commentary | Attorneys, advocates and researchers |
| Legal analytics and legal reporting software | Work in progress, realisation, debtor days and matter profitability | Directors and finance |
| Enterprise legal management software | Matters, outside-counsel spend and contracts for in-house legal departments | Corporate and public-sector legal teams |
| Legal compliance software | FICA due diligence, conflict checks and POPIA records | Compliance officers |
Most firms end up with a legal software suite: one package that covers several rows, or a few legal software applications and tools joined together. The examples of legal software above are categories, not products. We do not publish a legal software list or rank vendors, because the right choice depends on how your firm works.
Legal practice management software in South Africa has to meet local rules that generic or imported legal management software often handles poorly. Check each of these before you shortlist:

There is no single best legal practice management software: the most popular legal software, or the top choice for a conveyancing practice, is rarely right for a litigation firm or an in-house legal team. To compare legal practice management software, work through these steps:
01.
List your practice areas, matter volumes, fee earners and the legal workflow software you already use at each step, so the process every lawyer follows is covered.
02.
Ask for a trust reconciliation and a month-end run on a copy of your ledgers, not a demonstration file.
03.
Accounting, Microsoft 365 or Google Workspace, email filing, e-signature, and the court and Deeds Office processes. Closed legal software packages mean re-keying, and re-keying breeds errors.
04.
Online legal practice management software removes the office server but depends on connectivity. An on-premises system needs backups, patching and a tested disaster-recovery plan.
05.
You should be able to export matters, documents and ledgers in a usable format when the contract ends.
06.
A legal practice management software comparison site is a starting point; references from South African firms of your size and practice mix are better evidence.
07.
Licences, data migration, training, integrations, support, and the hardware or cloud tenancy that runs the system.
Your legal software company supports its application. We run everything around it, and we work with the vendor when a fault spans both, so the firm has one number to call.

A service desk, laptops, printers, scanning and dictation, patching, and monitoring that checks each computer every 15 minutes and logs faults as tickets automatically. See managed IT services.

Matter-centred filing in SharePoint and Microsoft 365 or Google Workspace, with retention rules, search and email filing, so a legal document software gap does not become a shared-drive mess.

Links between your practice system and accounting software such as Sage, Xero or Pastel, so fees, disbursements and trust entries are captured once.

Microsoft 365 hardening, conditional access, email security and POPIA compliance records.

Client portals, intake forms and workflow the packages do not cover, built by our software development team.

Laptops, servers and network equipment through Server Hub, our hardware division; business fibre and LTE through Fibre Boyz, our connectivity division.
Firms that practise conveyancing, litigation and commercial law move large sums through trust accounts, which makes them targets. A common attack is business email compromise: a criminal takes over or imitates a mailbox and sends a client new bank details for a transfer or settlement. Another is ransomware, which stops the firm working and puts privileged files at risk.
We reduce both with multi-factor authentication and conditional access, email authentication (SPF, DKIM and DMARC) and filtering, privileged-access controls, and backups kept out of an attacker's reach and restore-tested. Staff training covers confirming changed bank details by phone. In-house legal departments and public-sector legal teams get the same controls, with legal hold and records retention added. Our managed security operations in South Africa cover Microsoft 365 hardening, Microsoft Sentinel and Entra ID governance.

AI can summarise a bundle, draft a first letter or search precedents in seconds. It also raises questions a firm must answer: where privileged text goes, whether a model learns from it, and who checks the output. We configure document intelligence and AI assistants on the principle that AI recommends and people decide: every output is explainable, every AI action is logged, and client data is never used to train a model without explicit consent.
Our own platform for professional services firms, AtlasOS, is live for accounting, audit and payroll practices. The legal version, covering matter management, trust accounting integration and FICA compliance tracking, is in scoping. See AtlasOS for legal practices or visit the AtlasOS site (opens atlaspractice.app).

We price managed IT per user per month, set after an assessment, and quote project work, such as a practice-system migration, per project. Published South African managed IT rates run from about R180 to R400 per user per month (matnet.co.za, September 2026), with some providers listing R450 (MiBOT, September 2026).
Legal software is licensed separately by its vendor, usually per user each month or as a licence with annual maintenance. What drives your total is the number of users and offices, the size and quality of the data to migrate, the integrations, and whether the system runs in the cloud or on your own server. Free tools exist, including free legal billing and case management software, but they rarely handle South African trust accounting, and they seldom include support, backups or an audit trail.

B-BBEE contributor
135% procurement recognition
Arke Technologies (Pty) Ltd, a registered company since 2017, is a Level 1 B-BBEE contributor (sworn affidavit available on request), which gives your firm 135% procurement recognition on its own scorecard. Company documents and a bank confirmation letter are available on request, as are our Central Supplier Database number and SARS tax compliance status for public-sector legal departments. You can buy through a proposal and signed SLA, a purchase order or a tender response, and we complete standard bidding documents (SBD forms) when a tender requires them. See company facts, or read how we serve accounting and professional services firms and financial services among the industries we serve.
Legal practice management software is the core system a law firm uses to run its matters: client and matter records, diaries and court dates, time recording, billing, workflow and reporting, often with trust accounting built in. In South Africa it must handle trust ledgers under the Legal Practice Act and support FICA records. We help firms choose, integrate and support it.
Legal billing software records fee earners' time and disbursements and turns them into fee notes, bills of costs and invoices, sometimes in the e-billing formats corporate clients require. It is often part of a practice management system. Good legal billing systems software reduces month-end billing chaos by capturing time as the work happens, instead of reconstructing it later.
Legal case management software organises litigation and other matters: parties, court dates, a timeline of events, tasks, pleadings and bundles. It reminds fee earners of deadlines and keeps the file in one place. Many practice management systems include it; standalone legal software for case management suits litigation teams and in-house legal departments with heavy matter volumes.
The best legal software for a South African firm is the one that handles your practice areas, trust accounting and integrations at a total cost you can carry over the contract term. Test a trust reconciliation on your own data, confirm you can export everything at exit, and call references from firms of your size. We advise on the choice and support what you pick.
Free legal software can serve a sole practitioner's diary or documents, but it rarely suits a firm that holds trust money. Free legal accounting software and free billing tools seldom handle Legal Practice Council trust rules, audit trails or FICA records, and usually come without support or backups. A trust-account shortfall or a qualified audit report costs far more than the licence saving.
Most law firms benefit from managed IT services, because they hold privileged, high-value data and must show control of it. A managed service covers the service desk, devices, security, backups and the infrastructure behind the practice system under one SLA, with a monthly report; firms with their own IT staff can choose co-managed IT. Published South African rates run from about R180 to R400 per user per month (matnet.co.za, September 2026).
POPIA applies to every law firm that processes personal information about clients, opponents, witnesses or staff. The firm must secure it, limit access, keep it only as long as needed, and report breaches to the Information Regulator and the people affected. Privileged matter files deserve the tightest access controls, and every system that holds them should keep an audit trail.
We will review your practice system, trust-accounting integration, documents, security and backups, and give you a clear, costed plan. Talk to us or call 010 447 2445.
