The short answer
- Choose Microsoft 365 when your work runs on desktop Excel, Word and Outlook or on Windows line-of-business software, and you want Microsoft's identity, device and security controls in one suite.
- Choose Google Workspace when people work in the browser, write and edit documents together and use Chromebooks, and you want a simpler admin console.
- Either can meet POPIA and audit expectations when it is configured and run properly; neither is secure on default settings alone.
- Neither is cheaper for everyone. Cost depends on the plan or edition your users need, so compare the total over the contract term, including administration and backup.

Google Workspace versus Microsoft 365: the differences that matter
Comparisons of Google Workspace vs Office 365 cover the same ground, because Office 365 is the older name for most Microsoft 365 plans. Five differences decide most choices.
Where people work. Microsoft 365 is built around desktop applications, with web and mobile versions alongside. Google Workspace is built for the browser; its desktop presence is mainly the Drive app and offline mode. Staff who spend the day in large spreadsheets, long formatted documents or Outlook with several shared mailboxes are at home in Microsoft 365. Departments that edit the same documents at once are at home in Google Workspace, where co-editing is the default.
Excel and financial work. Finance teams that rely on large models, VBA macros, Power Query or add-ins usually need desktop Excel. Google Sheets opens Excel files, but VBA macros do not run there and some advanced features do not carry across.
Documents you exchange. Standard bidding documents, tender packs and many supplier templates arrive as Word, Excel or PDF files. Google Docs opens and exports Word files, but complex layouts can shift on the round trip, which matters when a bid must match a template exactly.
Co-editing. Both suites let several people edit one file at the same time. In Google Workspace every document works that way; in Microsoft 365 it works when the file sits in OneDrive, SharePoint or Teams rather than on a local drive.
Administration. Google's single Admin console is simpler for a small IT team; Microsoft 365 spreads its settings across several admin centres, with deeper controls in each. In both, configuration decides how secure you are.

Google Drive or OneDrive? File storage compared
There is no "Google OneDrive": OneDrive is Microsoft's file storage and Google Drive is Google's, and people searching for Google OneDrive are usually weighing one against the other. Both keep each person's files in the cloud, sync them to Windows and macOS, and share them with colleagues. The differences are how storage is allocated and who owns the files (Microsoft and Google, September 2026).
| Question | OneDrive and SharePoint (Microsoft 365) | Google Drive (Google Workspace) |
|---|---|---|
| Storage | 1 TB of OneDrive per user on business plans, plus SharePoint storage for the organisation | Pooled across the organisation: 30 GB per user on Business Starter, 2 TB on Business Standard, 5 TB on Business Plus |
| Team files | SharePoint sites and Teams, owned by the organisation | Shared drives, owned by the organisation |
| When someone leaves | Their OneDrive is kept for a retention period, then deleted, unless files are moved first | Files they own are deleted with the account unless ownership is transferred |
| Sync to computers | OneDrive app for Windows and macOS | Google Drive for desktop, for Windows and macOS |
In both suites the governance gap is the same: files kept in personal storage leave with the person unless someone acts. We put team files in SharePoint or shared drives from day one, and move file ownership as part of every leaver's checklist.
Outlook with Google Workspace, and Gmail users on Microsoft 365
Email habits often decide the choice. Staff who want to keep Outlook do not have to give it up on Google Workspace: Google Workspace Sync for Microsoft Outlook, Google's free plug-in for classic Outlook on Windows, syncs mail, calendar events, contacts, notes and tasks between Outlook and a Google Workspace account (Google, September 2026). Microsoft's new Outlook for Windows does not run the plug-in, so we check which Outlook your staff use before planning the move. We test the set-up against your largest mailboxes and shared calendars before cut-over, because delegated access and large archives need planning.
In Microsoft 365, Outlook is the native client for Exchange Online on Windows, macOS, the web and mobile. People moving from Gmail to Outlook need a short orientation on folders instead of labels, and a plan for filters, signatures and shared inboxes, which a mail migration does not always carry across.
Security and compliance
Sign-in protection. Microsoft 365 offers multi-factor authentication on every plan and conditional access on Business Premium and enterprise plans; Google Workspace offers 2-Step Verification and security keys, with context-aware access on higher editions.
Device control. Intune enforces encryption, updates and remote wipe for Microsoft 365; Google endpoint management does the same for phones, laptops and Chromebooks, with advanced controls on higher editions.
Retention and eDiscovery. Microsoft Purview and Google Vault keep mail and files for legal holds, audits and requests for records under PAIA.
Where data is stored. For a tenant provisioned in South Africa, Microsoft stores core Microsoft 365 data (Exchange Online mail, SharePoint, OneDrive and Teams) at rest in its Johannesburg and Cape Town data centres. Google Workspace's data-region settings offer the United States or Europe, not South Africa (Microsoft and Google, September 2026). POPIA section 72 governs transfers of personal information out of South Africa, so we record where your data is stored and on what basis.
Email authentication. SPF, DKIM and DMARC protect your domain from spoofing on either platform; see email security.
Board reporting. King IV Principle 12 asks the governing body to oversee technology and information, and monthly reports on sign-ins, sharing exceptions and admin changes give it evidence. See Microsoft 365 security and what cyber security involves.
Devices: Windows, Macs and Chromebooks
Your device fleet often settles the question. Windows laptops and desktops fit Microsoft 365: Intune enrols them, applies policy and deploys the Office apps. Chromebooks fit Google Workspace: they are managed from the same Admin console once each has a Chrome Enterprise or Chrome Education upgrade licence. Macs, iPhones and Android phones work with both.
A school may give learners Chromebooks while its administration office runs Windows. Running both suites side by side works when identities, email domains and data rules are designed together. See device and IT asset management, learner devices and Google Workspace and Microsoft 365 for Education.
What each suite costs to run
Neither suite has a single price. Both are licensed per user per month, in plans or editions that add apps, storage, security and compliance as you move up, and both charge less per user for an annual commitment than for month-to-month flexibility. What decides the total:
Plan mix. Microsoft 365 lets you mix plans by role in one tenant, so desktop apps and advanced security go only to those who need them. A standard Google Workspace subscription applies one Business edition to everyone in the organisation (Google, September 2026), so the needs of your most demanding users set the rate for all. Some Google resellers can offer mixed editions, known as partial domain licensing, on an annual plan and on Google's conditions.
AI. Google includes Gemini in its business and enterprise editions; Microsoft 365 Copilot is a paid add-on per user, while Copilot Chat comes with work accounts.
Devices. Chromebook management needs a per-device upgrade licence; Windows device management comes with Business Premium and the Microsoft 365 enterprise plans.
Backup. Neither suite replaces your own backup of mail and files, so budget for it with either; see backup and disaster recovery.
Administration. Inside a managed IT contract, running the suite is part of the per-user fee; published South African managed IT rates run from about R180 to R400 per user per month (matnet.co.za, September 2026).
Migration. A move between suites is a one-off project, quoted per project.

Moving from one suite to the other
01.
Discovery
We list users, mailboxes, shared mailboxes, aliases, domains, file shares and every system that sends email, and note which records must be kept.
02.
Design
Accounts, groups, shared drives or SharePoint sites, the security baseline and retention rules are built on the new platform before any data moves.
03.
Pilot
A small group moves first, to test mail, calendars, file permissions and day-to-day habits.
04.
Migration
Mail, calendars, contacts and files move in planned batches: My Drive to OneDrive and shared drives to SharePoint or Teams, or the reverse.
05.
Cut-over
MX records change at a planned time, with SPF, DKIM and DMARC set for the new platform.
06.
Training and handover
Short, workflow-based training, then administration under a service-level agreement (SLA) and the first monthly service review.
Larger moves follow our data migration method.
How to choose: a checklist for decision-makers
Which applications do finance, legal and operations depend on, and do they need desktop Office?
Which devices do staff and learners use today, and what will you buy next?
Which retention, eDiscovery and data-loss prevention controls do POPIA, PAIA and your auditors require?
Where must your data be stored, and how will you record transfers under POPIA?
How many users will you have in three years, and will you pass 300?
Who will administer the platform, and what will that cost over the term?
What would it cost to move later if the choice proves wrong?
How Arke Technologies supplies and runs either suite

Frequently asked questions
Is Google Workspace better than Microsoft 365? Show answer Hide answer
Neither is better for every organisation. Google Workspace suits teams that work in the browser, edit documents together and use Chromebooks; Microsoft 365 suits organisations that depend on desktop Excel, Word and Outlook, Windows software and Microsoft's device and security controls. Your applications, devices, compliance duties and the people who will run the platform should decide it.
Is Google Workspace cheaper than Microsoft 365? Show answer Hide answer
Not automatically; it depends on the plan or edition your users need. Browser-only users can run on an entry tier of either suite, but staff who need desktop Office need a Microsoft 365 plan that includes it, and a standard Google subscription applies one Business edition to everyone. Compare the total over the term, including device management, backup, administration and any AI add-ons.
Can we use Outlook with Google Workspace? Show answer Hide answer
Yes. Google Workspace Sync for Microsoft Outlook, Google's free plug-in for classic Outlook on Windows, syncs mail, calendar events, contacts, notes and tasks with a Google Workspace account. The new Outlook for Windows does not run the plug-in but can add a Google Workspace account, as can Outlook on Mac and mobile. We test the set-up with your largest mailboxes and shared calendars before cut-over, because delegated access needs planning.
Is there a Google OneDrive? Show answer Hide answer
No. OneDrive is Microsoft's cloud file storage, included with Microsoft 365, and Google Drive is Google's equivalent, included with Google Workspace. Microsoft 365 business plans include 1 TB of OneDrive storage per user, while Google Workspace pools storage across the organisation according to its edition. Both sync files to Windows and macOS and share them with colleagues.
Can we run Google Workspace and Microsoft 365 together? Show answer Hide answer
Yes. A school, for example, can put learners on Google Workspace with Chromebooks and run its finance office on Microsoft 365 with Windows. It works when identities, email domains, sharing rules and retention are designed together, so nobody ends up with two unmanaged accounts. We set up and administer mixed environments under one SLA.
Which is more secure, Microsoft 365 or Google Workspace? Show answer Hide answer
Both can be run to a high standard, and configuration decides the outcome more than the platform. Multi-factor sign-in, device management, sharing rules, email authentication, retention and monitored admin activity matter in either suite. Microsoft's strongest controls sit in Business Premium and its enterprise plans, and Google's in its higher editions, so compare plans at the same security level.
Which suite is better for schools? Show answer Hide answer
It depends on the devices learners use and how teachers work. Google Workspace for Education pairs naturally with Chromebooks and Google Classroom; Microsoft 365 Education suits schools with Windows labs, desktop Office subjects and Teams for Education. Both offer a no-cost tier to qualifying institutions and paid tiers with stronger security; see our education licensing guide.
