AI consulting and implementation for South African organisations

Arke Technologies (Pty) Ltd is a Johannesburg AI consulting and implementation company. We help mid-sized and large organisations, public-sector bodies and schools in South Africa choose the AI use cases worth funding, then build, integrate and govern them, with POPIA controls, audit logs and people in charge of every decision that matters.

What AI consulting is, and what an AI consultant does

AI consulting is the advice and engineering that turn artificial intelligence from a tool a few people try into a system an organisation can rely on, defend to its auditors and afford to run. A useful AI consultation starts with the work, not the technology: which decisions and documents take the most skilled time, and what a wrong answer would cost.

AI consultants then do four jobs. They prioritise use cases by value and risk, design the AI solutions architecture (models, data sources, integrations and controls), build and integrate the system, and set up the monitoring that keeps it accurate after launch. Our AI consulting services cover all four, so the team that writes your AI strategy is the team accountable when it runs.

Buyers meet several kinds of supplier. An AI agency, or artificial intelligence agency, tends to focus on marketing content and chat experiences; management consulting firms often treat AI as one workstream in a wider strategy programme; an AI tech company usually sells one product. Arke Technologies advises, builds and then supports, with software development, systems integration, cybersecurity and managed IT in the same company, so an AI system lands on infrastructure we already know how to secure and run.

Artificial intelligence in business: where it pays back first

Artificial intelligence in homes, through voice assistants and phone apps, made the technology familiar. Artificial intelligence in business is a different discipline, because the output feeds invoices, patient records, tenders and board packs. The use cases that pay back first share three traits: high volume, a clear definition of a correct answer, and a person who can check the result quickly.

For sector context, see our pages on IT for healthcare, agriculture and distribution, mining and industrial operations and professional services, and our data and analytics and DevOps and quality engineering services. For accounting and tax practices, our platform AtlasOS includes AI-assisted advisory: staff ask about overdue tasks, compliance risks or a client summary, and the decision stays theirs (Visit the AtlasOS site  (opens atlaspractice.app) or book an AtlasOS demo).

Automation and AI: what is the difference?

Automation and AI solve different problems. Automation follows rules someone wrote; AI handles inputs that do not fit a rule, such as a scanned invoice in an unfamiliar layout. The strongest systems combine them: rules for the predictable steps, AI for judgement, and a person for the exceptions.

Many organisations already run robotic process automation in tools such as UiPath, and AI rarely replaces those bots: it takes the steps that need reading or judgement and hands structured results back to the workflow. Automatic AI that acts with no review is a setting, not a default: the customer assistant we built for Server Hub, our hardware division, runs in off, draft or automatic modes, and staff approve its drafts. AI intelligent agents: definitions and examples

An intelligent agent in artificial intelligence is software that perceives its environment, decides what to do, acts towards a goal and checks the result. The study of artificial intelligence and intelligent agents is decades old; large language models now let an AI intelligent agent follow plain-language instructions, call business systems and explain what it did.

Intelligent agents in artificial intelligence, with examples organisations can run today:

  • A service-desk agent that reads a ticket, gathers the device history and proposes a fix for a technician to approve.
  • A sourcing agent that gathers dated price evidence and drafts a quote for a person to check, the pattern our AI-assisted tools on the Server Hub platform follow.
  • A compliance agent that watches filing deadlines across a client portfolio and drafts reminders.
  • A procurement agent that compares bids against a specification and flags gaps for the evaluation committee.

AI intelligent agents earn their keep when their permissions are narrow and every action is logged. See AI agents for business and our explainer on AI agents vs generative AI.

The models and platforms we build with

Generative AI is the family of models that produce text, images, code or audio: mostly large language models today, with image models and older generative adversarial networks (GANs) used for specialist tasks such as synthetic test data. Classical machine learning still does much of the useful forecasting and classification work, at a fraction of the compute.

We build with leading models from Anthropic (Claude) and Google (Gemini, through Vertex AI), and with open-weight models, choosing the model for each job. On Google Cloud, ML work runs through Vertex AI and BigQuery; we also build on Microsoft Azure and AWS where your estate already lives. Retrieval-augmented generation (RAG) grounds answers in your own documents, and guardrails, logging and cost controls ship with every system. Where data must stay on hardware you own, we run open-weight models on a private AI platform.

The best AI tools for business, and when free ones are enough

The best AI tools for business are usually the ones already inside the software your people use every day, configured so each person sees only what they should, plus custom AI where the work is specific to you.

Tool typeExamplesWhere your data goesBest fit
AI in the office suiteMicrosoft 365 Copilot; Google Workspace AI (Gemini in Gmail, Docs and Meet)Handled under your Microsoft 365 or Workspace agreement, within existing permissionsWriting, summaries, meetings, email
Model platformsClaude and Gemini through Vertex AI; Azure and AWS model servicesProcessed under enterprise terms you can reviewCustom assistants, document processing, agents
Private, open-weight modelsModels on your own GPU server or in colocationStays on infrastructure you controlSensitive or regulated data
Free consumer AI appsFree chat assistants, website and logo buildersSet by each app's terms, which may allow training on your inputsIndividual experiments with non-sensitive content

Free AI tools for business have their place. A sole trader can create a free website for a business with AI, and many AI marketing tools for small business owners start free; smaller firms can read our page on IT for small and medium businesses. For an organisation holding personal information, the terms are what matter: who sees your prompts, whether they train the provider's models, and whether you can prove either to an auditor. Google AI for business and Microsoft's equivalents answer those questions in a contract your legal team can review, which many free apps do not. We set up both Google Workspace and Microsoft 365 Copilot, and supply the licences for either.

How we build an AI strategy

An AI strategy is a short, costed plan: which use cases to fund, in what order, on what data, with which controls, and how you will know each one worked. An AI business strategy fails when it is a list of tools and succeeds when it is tied to measures the board already tracks.

  1. AI readiness assessment

We review your data quality and access, your Microsoft 365 or Google Workspace permissions, and your infrastructure and security baseline. You get an honest view of what is feasible now and what needs preparation first.

  2. Use-case prioritisation

Each candidate is scored on value, complexity, risk and readiness, so the roadmap balances quick wins with larger bets.

  3. AI solutions architecture

We design the system (models, data sources, integrations, identity, logging and where data is processed) and document it for your architect and auditors.

  4. Governance before build

We agree the ethical boundaries, approval points and audit trail before anything is built.

  5. Pilot

A small, measured group uses the system on real work against a baseline taken beforehand.

  6. Production and support

What proves itself goes live under an SLA; what does not is stopped and documented.

An AI programme also needs a coalition inside your organisation: an executive sponsor, the owner of each process, IT and your information officer. We help you form it, and we tie the roadmap to your IT governance, risk and compliance framework and your plans for AI governance.

Adoption and training

Adoption decides the return on any AI investment. Business schools offer AI for business masters programmes, certification courses and a growing shelf of books, but most staff need something narrower: short, role-based training on the tools they actually have, clear rules on what may go into a prompt, and a simple way to report a wrong answer.

Our AI consulting training is built around your use cases: practice on your own documents, the limits of each tool and how to check an output before it leaves the building. We measure adoption through usage reports and short surveys, report it in the monthly service review, and adjust the training where uptake is low.

Governance, POPIA and responsible AI

Our Emergent Intelligence (EI) framework is the set of design principles we apply so that AI strengthens human judgement rather than replacing it. It has five principles:

  • Agency preservation. AI recommends; people decide, above all where a decision affects someone's rights, money or health.
  • Transparency. Every output can be explained: what data informed it and why.
  • Governance and auditability. Every AI action is logged and reviewable.
  • Progressive enhancement. Start with low-risk uses and expand as confidence builds.
  • Ethical boundaries. Clear limits on what the AI may do and what data it may see.

Data handling follows the same discipline: data minimisation, encryption in transit and at rest, access controls and audit logging. We never train models on client data without explicit consent.

The law points the same way. POPIA requires appropriate security for personal information, restricts decisions based solely on automated processing that significantly affect a person (section 71), and limits transfers of personal information abroad (section 72). King IV Principle 12 makes the governing body responsible for technology and information governance, which reaches AI systems as it reaches any other technology, and public bodies add PFMA or MFMA disciplines on procurement, records and audit. Our security controls are aligned with ISO/IEC 27001 and the NIST Cybersecurity Framework. Read our POPIA compliance checklist, King IV and technology governance, our guide to South Africa's national AI policy and how we disclose our own use of AI.

How an AI engagement is governed and reported

  • A named lead for your engagement and a steering group that meets on an agreed cadence.
  • Change control for prompts, model versions and data sources, so no model update goes live unreviewed.
  • A monthly service review and report once a system is in production: accuracy on sampled outputs, usage, cost against budget, incidents and requests.
  • Incidents prioritised P1 (critical outage) to P4 (low-impact request), with response and resolution targets, escalation paths and exclusions agreed in your SLA.
  • An incident route for AI errors: a harmful or wrong output is logged, traced to its prompt, data or model version, and the fix recorded.
  • Testing of the AI's access to your systems by our cybersecurity team, including penetration testing where a system is exposed to the internet.

What AI consulting costs, and what drives the price

Last reviewed: September 2026.

AI consulting in South Africa has no standard rate card. As a reference point, published rates for general IT project work run from about R550 to R750 an hour ex VAT (matnet.co.za, September 2026). We quote each phase after discovery, so you can fund the readiness assessment and a pilot before committing to anything larger.

Cost elementHow it is pricedWhat drives it
Readiness assessment and AI strategyFixed-scope proposalNumber of business areas, systems and data sources reviewed
Build and integrationProject quote per use caseIntegrations, data preparation, approval flows, testing
Model usagePer token or per request, billed by the model providerVolume, document length, model choice
LicencesPer user per month, for tools such as Microsoft 365 CopilotNumber of people who get a seat
InfrastructureCloud consumption, or GPU hardware bought onceData sensitivity, workload size, hosting option
Support and improvementMonthly fee under an SLANumber of systems, review cadence, response times

Running costs are easy to leave out of an AI business case, because they grow with use. We design cost controls into each system, such as spending caps, caching and a smaller model wherever it performs as well, and report spend against budget every month.

Procurement fit and continuity

  • Level 1 B-BBEE contributor (sworn affidavit available on request), which gives buyers 135% procurement recognition.
  • Supplier documents. Arke Technologies (Pty) Ltd has been a registered company since 2017 (registration 2017/386810/07). Company documents, bank confirmation letter, CSD supplier number and SARS tax compliance status are available on request, and we complete standard bidding documents (SBD forms) when a bid requires them. See procurement and supplier compliance and our company facts.
  • How to buy. A proposal for the readiness assessment, then an SLA or project agreement against your purchase order, or our response to your tender.
  • You own what we build. Your data, prompts, configurations, code and documentation stay yours. Systems are documented so another team could run them, and on exit we hand over everything, credentials included.
  • Model independence. We design so the model can be changed without rebuilding the application, which protects you when prices or providers change.
  • One accountable team. Strategy, build, security and support sit under one contract with Arke, so there is no gap between the people who designed a system and the people who answer for it in production.

Frequently asked questions

What does an AI consultant do? Show answer

An AI consultant finds where artificial intelligence will pay back in your organisation, designs the system, builds or configures it, and sets the controls that keep it accurate and lawful. At Arke that runs from an AI readiness assessment through architecture, integration and a measured pilot to production support under an SLA, with monthly reporting on accuracy, usage and cost.

How much does AI consulting cost in South Africa? Show answer

AI consulting is usually priced per phase rather than per hour: a fixed-scope readiness assessment, a project quote per use case, then a monthly fee for support. For context, published rates for general IT project work run from about R550 to R750 an hour ex VAT (matnet.co.za, September 2026). Model usage and licences are separate running costs, which we estimate before you commit.

How do we choose between AI consulting companies in South Africa? Show answer

Choose on evidence of production systems, data handling and support, not on demos. Ask each AI company to show a system running today, explain where your data will be processed and whether it trains models, show its audit logs and approval points, and state the monthly running cost and SLA. A supplier that cannot answer all of these is selling a pilot, not a service.

What are the best AI tools for business, and are free tools safe? Show answer

The best AI tools for business are usually the AI features in the office suite you already license, such as Microsoft 365 Copilot or Google Workspace with Gemini, configured so users see only what they should. Free tools suit non-sensitive experiments, but read their terms first: some allow the provider to use your inputs, which is hard to reconcile with POPIA.

Will AI replace our staff? Show answer

Not in the systems we design: AI takes on repetitive reading, sorting and drafting, while judgement, relationships and sign-off stay with people. That changes how roles spend their time rather than who answers for the outcome. Under our Emergent Intelligence principles AI recommends and people decide, which is also what POPIA section 71 expects for decisions that significantly affect a person.

Is our data used to train AI models? Show answer

No, not without your explicit consent. We never train models on client data without it, we use model services under enterprise terms that exclude training on your inputs, and for sensitive work we run open-weight models on infrastructure you control. Data is minimised before it reaches a model, encrypted in transit and at rest, and every AI action is logged for audit.

How long does an AI project take? Show answer

Simple integrations, such as a chatbot over a well-kept knowledge base, can go live within weeks; systems that span several business applications or need data preparation take months. The readiness assessment comes first and sets the order. We give you a dated plan after discovery, and each phase ends with a decision point, so you never commit to the whole programme up front.
