Chromebooks and learner devices for schools
A Chromebook is a laptop that runs Google's ChromeOS and keeps learners' work in the cloud, so any device can be handed to any learner. Arke Technologies helps South African schools choose, supply, enrol, manage and support Chromebooks, Windows laptops and tablets for learners and teachers.
What is a Chromebook used for in schools?
A Chromebook is used for the everyday work of a school: writing and research, Google Classroom assignments, online tests, reading, coding exercises and video lessons. Because it runs mainly in a browser and stores files in Google Drive, it starts quickly, needs little local maintenance and can be wiped and reassigned without losing anyone's work.
Chromebooks for schools are managed centrally from the Google Admin console. Each device needs a management licence (Google's Chrome Education Upgrade), after which the school controls which apps learners can install, which sites they can reach and who can sign in. That central control is what makes Chromebooks for education practical at scale, and it is the step easiest to skip when devices arrive in boxes with no plan.
Chromebooks are not the right tool for everything. Software that runs only on Windows or macOS, such as some design, video-editing, engineering drawing and accounting packages used in commercial subjects, needs a Windows laptop or a lab PC. The choice of device should follow what learners will actually do on it. Our education IT overview sets the device decision in the wider plan.

Chromebooks, Windows laptops or tablets: how to choose
| Chromebook | Windows laptop | iPad or Android tablet | |
|---|---|---|---|
| Best for | Browser and Google Workspace work, shared or one-to-one | Windows-only software; Microsoft 365 schools | Foundation Phase, reading, media work |
| Management | Google Admin console with Chrome Education Upgrade | Microsoft Intune | Microsoft Intune, with Apple's automated device enrolment for iPads |
| Sharing between learners | Simple: work lives in the learner's account | Possible, slower to reset | Possible, with more setup |
| Typing | Built-in keyboard | Built-in keyboard | Needs a keyboard case for extended writing |
| Update life | Each model has a fixed automatic update expiry date; check it before you buy | Follows the Windows support cycle | Follows the maker's update policy |
| Offline work | Limited to offline-enabled apps | Full | Depends on the app |
The platform choice usually follows the school's identity platform. Chromebooks pair naturally with Google Workspace for Education; Windows laptops with Microsoft 365 Education. Mixed estates work, but take more effort to run and support. See Google Workspace and Microsoft 365 for Education.

Chromebooks for teachers
The best Chromebook for teachers is usually a step up from the learner model: a larger, sharper screen, more memory, a backlit keyboard, USB-C charging that shares chargers with the class set, and a touch screen with pen support for marking. Teachers also need to reach the classroom display, the class's devices and any Windows-only software their subject uses.
Some schools therefore give teachers a Windows laptop or a higher-specification Chromebook, and add classroom computer management software so the teacher can see learner screens, push a link to every device and lock screens during a test. Whichever you choose, the teacher's device should cast cleanly to the interactive display in every room.

Managing learner devices: what we set up
Enrolment before delivery. Devices are configured and bench-tested before dispatch, enrolled in your management console, labelled and asset-tagged.
Policies. Approved apps, blocked sites, content filtering, safe search, sign-in limited to school accounts, and the usage rules the school sets.
Chromebook management software for schools. The Google Admin console for Chromebooks; Microsoft Intune for Windows laptops and tablets. Both report into one monthly service review. See device and IT asset management.
Lost and stolen devices. Disabled remotely and reassigned once recovered or replaced.
Updates. Operating system and app updates staged so nothing changes on exam day.
Asset register. Serial number, assigned learner, warranty date and condition for every device, reported monthly.
Device records link a serial number to a named learner, which makes them a child's personal information under POPIA. We keep the register inside your own systems, limit who can see it, and remove what you no longer need. More in cybersecurity, POPIA and online safety for schools.
One-to-one, shared class sets or BYOD
| Model | How it works | Watch for |
|---|---|---|
| One-to-one | Each learner has a device, often taking it home | Insurance, charging at home, a signed agreement with each parent or guardian |
| Shared class sets | Devices live in a charging trolley and move between classes | Charging windows during load-shedding, sign-in time at the start of each lesson |
| Bring your own device (BYOD) | Learners bring their own device to a minimum specification | Mixed devices, fairness between families, limited control of a device the school does not own |
With Chromebook BYOD, a school can require learners to sign in with their school account, so the school's user policies apply during the session even on a family-owned device. BYOD works best alongside a small pool of school devices, so no learner is left out. Whichever model you choose, the network must carry a full class at once; see school networks and Wi-Fi.
What Chromebooks and learner devices cost
Last reviewed: September 2026.
Chromebook cost for schools is more than the price of the device.
| Cost line | What drives it |
|---|---|
| Device | Specification, screen size, rugged build, touch and pen, new or certified refurbished |
| Management licence | Chrome Education Upgrade for each Chromebook, or Intune licensing for Windows laptops and tablets |
| Accessories | Cases, charging trolleys, spare chargers |
| Setup | Enrolment, labelling and asset tagging |
| Support | Per-seat managed IT, a spares pool and repairs |
| Network | Wi-Fi capacity and internet bandwidth for a full class |
Server Hub quotes every line in rand with VAT included, backs each priced line with a dated source, and typically returns a quote within a few business hours. New and certified refurbished units carry a 12-month local warranty and pre-owned units 90 days, always in addition to your Consumer Protection Act rights. Refurbished devices can stretch a budget, but check the automatic update expiry date first: a Chromebook past that date no longer receives security updates and should not be issued to learners. For how buying and replacement cycles are planned, see IT procurement and lifecycle management.
How we deliver a device rollout
01.
Assess
Platform, network, subjects, budget and how the devices are funded: school fees, a donor or a department allocation.
02.
Pilot
We recommend a class set in two or three classrooms for a term, with teacher feedback before the full order.
03.
Specify and quote
Device model, management licences, accessories and warranty, itemised through Server Hub.
04.
Enrol and prepare
Devices configured, bench-tested, enrolled, labelled and asset-tagged before they reach the school.
05.
Hand out and train
Sign-in sessions for learners, a short course for teachers and a guide for parents.
06.
Support and report
Service desk under your SLA, spares and repairs, and a monthly report on devices, faults and usage.
Governance, POPIA and procurement
Governance. An SLA set to your needs, with P1 to P4 priorities and response and resolution targets agreed with you, a monthly service review and report on devices, faults and warranty status, a named service lead, escalation paths and change control for policy changes.
POPIA. Learner data minimised, access controlled and audit-logged; device records kept inside your systems.
Funder and department reporting. Donor- and CSI-funded rollouts get an asset register and reporting a funder can audit; department-funded rollouts follow PFMA procurement and reporting disciplines.
Procurement. Level 1 B-BBEE contributor, giving 135% procurement recognition (sworn affidavit available on request); company documents, a bank confirmation letter, our CSD supplier number and SARS tax compliance status on request; SBD forms when a bid requires them; itemised quotes for governing-body approval, a purchase order or a tender response.
Continuity. The devices, the management console and the admin credentials are yours. Adding a grade or a campus follows the same enrolment standard, and if you change provider we hand over the console, the register and the documentation.
Frequently asked questions
What is a Chromebook used for? Show answer Hide answer
A Chromebook is used for browser-based work: writing, research, Google Classroom assignments, online tests, email and video lessons. It suits schools because it starts quickly, keeps files in Google Drive rather than on the device, and is managed centrally, so a lost or broken Chromebook is replaced without losing a learner's work. It is not suited to Windows-only software.
Are Chromebooks good for schools? Show answer Hide answer
Chromebooks for schools work well when the school runs Google Workspace for Education, has reliable Wi-Fi and teaches mainly through the browser. They are quick to set up, simple to share between learners and managed centrally. Schools on Microsoft 365, or teaching subjects that need Windows software, are often better served by Windows laptops or a mixed estate.
How much does a Chromebook cost for a school? Show answer Hide answer
A school's Chromebook cost is the device plus a Chrome Education Upgrade management licence, a case, charging, setup and support, so budget per learner rather than per box. Server Hub quotes every line in rand with VAT included, each backed by a dated source, and certified refurbished units with a 12-month warranty can stretch a budget.
What is the best Chromebook for teachers? Show answer Hide answer
The best Chromebook for teachers has a larger, sharper screen than the learner model, more memory, a backlit keyboard and a touch screen with pen support for marking, plus a long automatic update life. Teachers who use Windows-only software, or who run the classroom display from their own laptop, may be better served by a Windows device.
How do you manage Chromebooks across a school? Show answer Hide answer
We manage Chromebooks through the Google Admin console, with each device enrolled under a Chrome Education Upgrade licence. That lets us apply app and website policies, content filtering and sign-in limits to every device at once, stage updates and disable a lost device remotely. Windows laptops and tablets are managed through Microsoft Intune, reported in the same monthly review.
Can learners bring their own Chromebook to school? Show answer Hide answer
Yes, if the school sets a minimum specification and learners sign in with their school account, so the school's user policies apply during the session. A school cannot manage a family-owned device as fully as its own, so bring-your-own-device programmes work best alongside a small pool of school devices for learners who do not have one.
What happens when a learner's Chromebook breaks? Show answer Hide answer
A broken Chromebook is logged with our service desk, swapped from a spares pool where the school keeps one, and repaired or claimed under warranty. Because work lives in the learner's account, the replacement is ready as soon as they sign in. Units bought through Server Hub carry a local warranty: 12 months on new and certified refurbished, 90 days on pre-owned.
