The best accounting software for a small business: the short answer
- Choose Sage if you want a range with South African roots that grows from online accounting to desktop and mid-market software, with payroll from the same vendor, or if you already run Pastel.
- Choose Xero if you want online-only accounting built around a large app marketplace, and your accountant already works in Xero.
- Consider QuickBooks Online if you want an online package with plans for 1 to 25 users; check early how South African payroll will run alongside it.
- No package is the best accounting software for everyone. Your VAT status, payroll, stock, accountant and growth plans decide it.
Sage vs Xero side by side
Both are established choices for small and mid-sized South African entities. The differences lie in how they run, how they grow and what they leave to other software (Sage and Xero South Africa, September 2026).
| Area | Sage | Xero |
|---|---|---|
| Products | Sage Accounting (online), Sage 50 Pastel (desktop) and Sage 200 Evolution (mid-market) | One online product, in Starter, Standard and Premium plans |
| How it runs | Online, or on your own computer or server, depending on the product | Online only, in the browser and mobile apps |
| South African VAT | VAT reporting built for South Africa | VAT201 returns prepared for e-filing with SARS |
| Payroll | South African payroll software from Sage, online and desktop | Not included in South African plans; connect a local payroll app |
| Stock | Inventory in the online product, with an advanced inventory add-on; stronger stock control in Pastel and Evolution | Tracks up to 4,000 inventory items; stock-heavy businesses add an inventory app |
| Several companies | Extra companies as a paid add-on online; multi-company handling in the desktop range | Each organisation is a separate subscription |
| Growth path | From online to Sage 50 Pastel, then Sage 200 Evolution, then ERP | Add apps from its marketplace, or move to an ERP |
| Suits | Established South African businesses, Pastel users and entities expecting to grow into mid-market software | Online-first businesses, and those whose accountant works in Xero |
Sage in South Africa: one family, three tiers
Sage's South African range grew out of Pastel, a local accounting package now part of Sage, which is why many of its products carry both names. Sage Accounting (also called Sage Business Cloud Accounting, and formerly Sage One) is the online package for small businesses. Sage 50 Pastel, including Pastel Partner and Pastel Xpress, runs on a PC or server and keeps the company file on your own infrastructure. Sage 200 Evolution is the multi-user, multi-module step for mid-sized organisations, before a move to a larger ERP.
The strength of the range is the growth path: a business can start online and move up without changing vendor, and run South African payroll from the same vendor. The trade-off is that the tiers are different products, so a move from Sage Accounting to Sage 200 Evolution is still a migration. Our accounting software implementation and support page explains the Pastel range in more depth.

Xero in South Africa: online only, built around apps
Xero is online accounting software sold in South Africa in three plans. Starter covers 20 invoices and 5 bills a month; Standard removes those limits and adds bulk reconciliation and automated bill entry; Premium adds multi-currency. Every plan reconciles bank transactions and shows real-time reports. Xero also prepares VAT201 returns for e-filing with SARS and tracks up to 4,000 inventory items (Xero South Africa, September 2026).
Xero's model is a lean ledger plus apps: payroll, advanced stock, point of sale and specialist tools come from a marketplace of connected apps, each with its own subscription. That keeps the core simple and lets each business choose its tools, but the total cost and the number of suppliers grow with every app. A South African business with employees will need a payroll app, because Xero's South African plans do not include payroll.
Sage accounting software vs QuickBooks
QuickBooks Online is Intuit's online accounting software, sold in South Africa in four plans: Simple Start for one user, Essentials for three, Plus for five and Advanced for 25, with inventory and project tracking from the Plus plan (QuickBooks South Africa, September 2026). Compared with Sage:
| Question | Sage | QuickBooks Online |
|---|---|---|
| How it runs | Online, desktop or server, depending on the product | Online only |
| Users | Set by plan and add-ons | 1, 3, 5 or 25 users, by plan |
| Stock | Online inventory with add-ons; stronger in Pastel and Evolution | Inventory in the Plus and Advanced plans |
| Payroll | South African payroll software from Sage | Check how South African payroll will run alongside it |
| Growth | Sage 50 Pastel, then Sage 200 Evolution, then ERP | The Advanced plan, then ERP |
| Suits | Businesses that want local depth and a growth path | Businesses that want an online package with a wide choice of apps |
What Sage, Xero and QuickBooks cost
Entry-level online plans cost a few hundred rand a month. The published prices below include VAT (Sage, Xero and QuickBooks South African websites, September 2026).
| Package | Published price | Worth knowing |
|---|---|---|
| Sage Accounting | R2,880 a year (Start) and from R5,220 a year (Standard), equal to about R240 and R435 a month | Billed monthly or annually; paid add-ons for extra users, companies and advanced inventory |
| Xero | R450 (Starter), R795 (Standard) and R1,095 (Premium) a month | 80% off the first three months for new customers; Starter is limited to 20 invoices and 5 bills a month |
| QuickBooks Online | Shown live on QuickBooks' South African site | Four plans, from 1 to 25 users |
The subscription is rarely the largest cost. Budget also for:
- Payroll, usually priced per employee, from Sage or from an app connected to Xero or QuickBooks.
- Apps and add-ons for stock, point of sale, expenses or multi-currency.
- Your accountant's fees, which can fall when they already work in your chosen package.
- Migration, set-up and training, quoted as a project.
- Support, within a managed IT contract or as agreed in an SLA.
Published South African hourly rates for IT project work run from about R550 to R750 ex VAT (matnet.co.za, September 2026). Compare packages over five years, not one month, and check the price after any introductory discount ends.

The best accounting software in South Africa, by type of business
The best accounting software in South Africa depends on the shape of the business more than on feature lists.
| Business | Often a good fit | Why |
|---|---|---|
| Sole trader or micro-business | An entry-level online plan from Sage, Xero or QuickBooks | Invoicing and bank reconciliation at the lowest cost |
| Service business with staff | Sage Accounting with Sage payroll, or Xero with a connected payroll app | VAT, payroll and time or project tracking |
| Business holding stock | Sage 50 Pastel or Sage 200 Evolution, or an online package with an inventory app | Stock control beyond simple item tracking |
| Group of companies | Sage 200 Evolution or an ERP | Consolidation, inter-company transactions and approvals |
| School, NPO or subsidiary | The package the group, auditors or governing body already use | One chart of accounts and one audit trail |
| Accounting practice | Each client's own package, plus practice software | Compliance deadlines across a portfolio of clients |
Accounting practices that manage compliance for a portfolio of clients need practice software on top of the ledgers; see AtlasOS for accounting practices, or visit the AtlasOS site (opens atlaspractice.app). Organisations outgrowing an accounting package should read what an ERP system is.
How to choose between Sage and Xero
Lists of the best accounting software for small businesses rarely match your situation. Test each option against these questions:
VAT. Are you VAT-registered, and does the package produce your VAT201 figures in the form your accountant uses?
Payroll. How many employees, and will payroll run in the same vendor's software or in a connected app?
Stock. Simple items, or warehouses, batches and serial numbers?
Users and approvals. Who captures, who approves, who reports and who audits?
Your accountant. Which package do they work in, and will they take on your file?
Bank and integrations. Does your bank connect directly for bank feeds, and do you need point of sale, e-commerce or payment gateway integration?
Connectivity. An online package stops when the internet does, so plan for load-shedding with backup power and a second connection from Fibre Boyz, our connectivity division.
Exit. Can you export your full history if you change package later?
Moving from Sage to Xero, or the other way
Switching packages is a data migration, and most of the risk sits there. The method is the same in either direction:
01.
Pick the conversion date, ideally the start of a VAT period or financial year.
02.
Map the chart of accounts and tax codes from the old package to the new one.
03.
Bring across opening balances from a trial balance at the conversion date, then the open customer and supplier invoices.
04.
Decide how much history to move
Balances and open items are the simpler route; the old package's detail can stay available, read-only, for reference.
05.
Reconcile the new ledger to the old one, account by account and bank by bank.
06.
Run both in parallel for a month where the risk justifies it, then switch.
07.
Keep the old records for the periods the law sets: generally five years under the Tax Administration Act and seven under the Companies Act.
Our data migration and ERP and accounting integration pages explain how we run these projects.
How Arke Technologies implements and supports accounting software
We implement, migrate, integrate and support Sage (Sage Accounting, Sage 50 Pastel and Sage 200 Evolution), Xero and QuickBooks, and recommend the package that fits your business, not the one with the longest feature list. We connect bank feeds, payroll, point of sale and payment gateways such as PayFast, Yoco, Paystack and Peach Payments, and build management reporting in Power BI where a package's own reports run out.
Controls come first. We set user roles and approval limits so that the person who loads a supplier's bank details cannot also release the payment, keep the audit trail on, lock periods after close, and protect payroll and debtor records, which hold personal information under POPIA, with role-based access and encrypted backups. These controls give a board evidence for the technology and information governance that King IV Principle 12 asks of it, and give public entities audit-ready records. Support runs under an SLA, with incidents prioritised from P1 (critical outage) to P4 (low-impact request) and a monthly service review. Arke Technologies (Pty) Ltd is a Level 1 B-BBEE contributor (135% procurement recognition; sworn affidavit available on request), and company documents, our CSD supplier number and SARS tax compliance status are available on request. Company files, administrator logins and backups stay yours. Smaller firms should also read IT for small and medium businesses and what managed IT services cost.

Frequently asked questions
What is the best accounting software for a small business in South Africa? Show answer Hide answer
The best accounting software for a small business in South Africa is the package that handles its VAT, payroll, stock and bank reconciliation, and that its accountant works in. Sage, Xero and QuickBooks all serve small businesses. Sage adds South African payroll and a desktop growth path; Xero adds a large app marketplace. Test each against your own needs.
Is Sage or Xero better for a small business? Show answer Hide answer
Neither is better for every small business. Sage suits businesses that want South African payroll from the same vendor, a desktop option or a path to Sage 200 Evolution. Xero suits online-first businesses that are happy to add apps, and those whose accountant already works in Xero. Your payroll, stock, users and accountant should decide it.
Is Xero cheaper than Sage? Show answer Hide answer
On published entry prices, no: Sage Accounting Start costs R2,880 a year, about R240 a month, against R450 a month for Xero Starter, both including VAT (September 2026). Xero offers new customers 80% off for three months, and both charge more for higher plans and add-ons. Compare the total over five years, including payroll, apps, your accountant's fees and support.
Does Xero do South African payroll? Show answer Hide answer
No. Xero's South African plans do not include payroll, so businesses connect a South African payroll app from Xero's app marketplace, which calculates PAYE, UIF and SDL and posts each payroll run to the ledger. Sage sells South African payroll software itself. Include the payroll app's subscription when you compare the two.
Sage or QuickBooks: which is better? Show answer Hide answer
Sage accounting software suits businesses that want South African payroll from the same vendor, a desktop option or a growth path to Sage 200 Evolution. QuickBooks Online suits businesses that want an online-only package, with four plans from 1 to 25 users and inventory from its Plus plan. Check how QuickBooks will handle your payroll before you choose.
Can I move my accounts from Sage to Xero? Show answer Hide answer
Yes. A move from Sage to Xero, or the reverse, maps your chart of accounts and tax codes, brings across opening balances and open invoices at a conversion date, and reconciles the new ledger to the old one. Moving balances and open items is simpler than moving every transaction, and the old records must be kept for the periods the law sets.
What is the best accounting software for accountants? Show answer Hide answer
Accountants usually work in whichever package each client uses, whether Sage, Xero or QuickBooks. What lifts a practice's own efficiency is practice software on top: client and entity records, SARS and CIPC workflows and deadlines, and billing. AtlasOS, our platform for accounting and tax practices, does that job; visit the AtlasOS site (opens atlaspractice.app) for the detail.
