ERP and accounting integration: Xero, Sage and SAP connected to your CRM
ERP and accounting integration connects your ledger (Xero, Sage, SAP Business One, Dynamics 365 or Odoo) to the CRM, online store, payment gateways and reporting tools around it, so orders, invoices and payments move without retyping. Arke Technologies, in Johannesburg, designs, builds and supports these integrations for South African organisations.
What ERP integration does, and where it pays
A common starting point is CRM integration with Xero: a deal won in the CRM becomes a Xero invoice, and the payment status flows back so the sales team can see who has paid. Every ERP integration follows the same principle. One system is the record for each kind of data, and the others read from it or write to it through an interface rather than a spreadsheet export.
It pays where people retype records, where month-end reconciliation takes days, or where nobody sees stock, orders and cash in one place. It is part of our systems integration service. If you are still choosing or replacing the ledger itself, start with ERP implementation and support or accounting software implementation.
Three decisions shape every design:
- System of record. Which system owns customers, products, prices, stock and invoices. Two systems that both own a customer produce duplicates.
- Direction. One-way (the CRM creates invoices in the ledger) or two-way (payment status and credit holds return to the CRM).
- Timing. Real-time through webhooks for orders and payments; scheduled batches for high volumes and reporting data.

Xero CRM integration: Salesforce, HubSpot, Zoho CRM and others
A Xero CRM integration usually carries contacts, quotes, invoices, payments and credit limits between the two systems. CRMs differ in where quotes and products live, and so in how much logic the connector needs.
| CRM | What usually flows | Design note |
|---|---|---|
| Xero integration with Salesforce | Opportunities and quotes become Xero invoices; paid or overdue status returns to the account | Field mapping across Salesforce's object model is the main work |
| Xero HubSpot integration | Deals, products and line items create invoices; invoice status shows on the contact | Suits teams whose sales process already runs in HubSpot |
| Xero Zoho CRM integration | Zoho and Xero integration through a marketplace connector or a custom build | If you also use Zoho's own accounting app, settle which ledger you keep first |
| Xero Pipedrive integration; Xero Insightly integration | A won deal raises an invoice with no retyping | The same pattern, sized for smaller sales teams |
For choosing and configuring the CRM itself, see CRM implementation.

Integration with Xero: an app, an automation platform or a custom build
Xero integration can be a ready-made app from the Xero App Store, a workflow on an automation platform, or Xero integration software built for your process. We choose the lightest route that still meets your controls.
| Route | Suits | Watch-outs |
|---|---|---|
| Marketplace app (Xero integration apps) | Standard flows, such as a store's daily sales or a CRM's invoices | Monthly fees set by the app vendor; limited control over mapping and error handling |
| Automation platform (a no-code workflow tool) | Light, low-volume links to tools such as Slack, Trello or Airtable | Hard to audit at scale; a failed step can pass unnoticed |
| Custom integration software | Your own pricing rules, several entities, high volumes or regulated data | Needs an owner, monitoring and documentation, which we provide under an SLA |
To integrate with Xero properly, a connection must respect Xero's API limits and its authorisation model, in which your organisation grants a named app access and can revoke it; where possible, the registration sits in your account, not ours. Where no connector exists, we build one through API development and integration.
E-commerce and payments into Xero and Sage
Online sales are where retyping costs most. The key choice is whether each order becomes an invoice, or each payout becomes one summarised entry with fees, refunds and VAT split out, which reconciles cleanly to the bank.
| Source | Integrations we design | What we design for |
|---|---|---|
| WooCommerce and WordPress sites | WooCommerce Xero integration; Sage WooCommerce integration, including WooCommerce Sage 50 integration and WooCommerce Sage 200 integration; WordPress Xero integration for forms and bookings | VAT on each line, stock sync, refunds |
| Shopify, Wix and Squarespace stores | Xero integration with Shopify; Wix and Xero integration; Xero Squarespace integration | Payout summaries, gateway fees, multi-currency |
| Amazon | Xero Amazon integration for marketplace settlements | Settlements split into sales, fees and refunds |
| Payment platforms and accounts | South African gateways such as PayFast, Yoco, Paystack and Peach Payments; Xero integration with Stripe; Stripe Sage integration; PayPal Xero integration; Square Xero integration and Wise Xero integration for entities trading abroad | Clearing accounts, fee lines, bank reconciliation |
Xero online payment integration adds a payment link to each invoice through a supported gateway, so the Xero invoice integration and the receipt land together. For gateway design, see payment gateway integration; for store operations, see IT for retail and e-commerce.
Stock, expenses, payroll and team tools around Xero
Any inventory management software integration with Xero must first settle who owns item codes and costing; every tool below needs the same discipline.
| Area | Integrations | What the link does |
|---|---|---|
| Inventory | Inventory management Xero integration: Unleashed Xero integration, Zoho Inventory Xero integration, Vend Xero integration (Vend is now part of Lightspeed) | Carries stock value and cost of sales to the ledger |
| Documents and expenses | Xero Hubdoc integration (Hubdoc is Xero's own document-capture tool); Xero Expensify integration | Turns receipts and claims into bills with the source attached |
| Time and projects | Xero Harvest integration; Monday Xero integration; ClickUp Xero integration; Trello Xero integration | Bills tracked hours and connects work boards to billing |
| Marketing and messages | Xero Mailchimp integration; Xero Slack integration; Xero Airtable integration | Keeps customer lists current and posts alerts, such as overdue invoices, to a finance channel |
| Spreadsheets and databases | Xero Excel integration; Xero Google Sheets integration; FileMaker Xero integration | Refreshed extracts without manual exports; in-house FileMaker databases connected through the API |
| Payroll | Xero payroll integration | In South Africa payroll usually runs in a separate payroll system; the link posts each run's salary journal, PAYE, UIF and SDL to the right accounts |
| QuickBooks | Xero QuickBooks integration | Usually a migration, or a group running both during a transition |
For monday.com, the link usually comes through an automation platform or a small custom service. Reminders can also go out through WhatsApp Business API integration, and moves off QuickBooks follow our data migration framework.
Power BI Xero integration and reporting
Power BI Xero integration puts ledger figures beside sales, stock and operational data in one report, refreshed on a schedule through a Xero Power BI connector or a pipeline into a reporting database. Groups can consolidate several Xero organisations, or Xero beside another ERP, into one model. See Power BI consulting and dashboards.

Integration in Sage: Sage 50, Sage 200 and Sage Business Cloud
Sage integration depends on the edition. Sage Business Cloud has an API. Sage 50 and Sage 200 in South Africa, the Pastel and Evolution lines, usually run on a server in your office, so integration with Sage there needs a small agent on your network or a scheduled exchange that never exposes the database to the internet.
- CRM Sage integration. Sage CRM integration, HubSpot and Sage integration, and CRM integration with Sage 50 pass customers, quotes and balances between sales and finance, so representatives see credit limits before they commit.
- Sage Salesforce integration. The same pattern, whether the ledger is Sage 50, Sage 200 or Sage 100, the edition more common in North America. Stores and card payments follow the payout design above.

SAP integration, Odoo and enterprise ERP integration
Larger organisations run several systems of record, so ERP integration becomes architecture rather than a single connector.
| Integration | What flows | How we approach it |
|---|---|---|
| SAP integration with SAP Business One | Customers, items, orders, invoices, stock | SAP Business One's Service Layer or DI API, with monitoring and retries |
| SAP process integration and SAP Cloud Platform Integration | Interfaces in larger SAP estates | Where SAP PI/PO or SAP CPI integration (now part of SAP Integration Suite) is your standard, we build the non-SAP end to it with your SAP team |
| Salesforce SAP integration; Salesforce ERP integration | Accounts, orders, pricing, credit status | One system of record per entity, and a middleware layer for volume |
| Odoo integration; Odoo SAP integration; Xero Odoo integration | Subsidiaries on Odoo feeding a group ERP, or Odoo operations with Xero accounts | Odoo's external API, with entity and currency mapping |
| Dynamics 365 Xero integration | Group reporting where subsidiaries run Xero and the parent runs Dynamics 365 | Consolidation mapping and intercompany rules |
| CRM ERP integration; WooCommerce ERP integration | Lead to cash: quotes, orders, invoices, payments | Event-driven where timing matters, batch where volume does |
| MES ERP integration; PLM ERP integration | Works orders and production figures; bills of materials and part numbers | Agreed ownership of item masters, and change control on engineering data |
How we deliver an ERP integration
01.
Discovery and mapping
Systems, data owners, volumes, the manual steps to remove, and each platform's API limits.
02.
Design
The system of record for each entity, field mappings, VAT and account codes, and error handling, in a design document your finance lead signs off.
03.
Build
In version control, with credentials in a secrets store, never in code.
04.
Test
Your real scenarios, including failures: a declined payment, a duplicate customer, a credit note, a closed period.
05.
Parallel run and go-live
Where money moves, old and new processes run side by side until the reconciliations match.
06.
Monitor and support
Monitoring, retries, alerts and a named owner for every integration, under an SLA with a monthly service review and report.
What ERP integration costs, and what drives it
We quote each integration as a project after discovery; monitoring and support then run under an SLA that sets scope and price, with incidents prioritised P1 to P4 and response and resolution targets agreed with you. We do not publish a rate card. As market context, published South African rates for IT project work run from about R550 to R750 an hour ex VAT (matnet.co.za, September 2026). Cost follows the number of systems and entities, one-way or two-way flows, starting data quality, custom rules such as customer-specific pricing or multi-currency, API limits and on-site agents, and marketplace app fees (set by their vendors) weighed against a one-off custom build.

Integration risks, and how we prevent them
Duplicates. One system of record, and matching rules on VAT and registration numbers, email addresses and account codes.
Silent failures. An alert on every failed sync, and a daily reconciliation of counts and totals.
VAT and account errors. Tax codes and account mappings signed off by your finance lead before go-live.
Breaking changes. We track vendors' API deprecation notices and test updates before they reach production.
Key-person risk. Documentation, runbooks and credentials held by your organisation, not by one developer.
Governance, compliance, procurement and continuity
Governance and reporting. A named integration lead, change control for mappings and rules, and an integration health report in each monthly service review.
Compliance. Integrations move personal information, so POPIA applies: least-privilege API access, encryption in transit, audit logs and an operator agreement where we process data for you. Controls are aligned with ISO/IEC 27001; public bodies get the audit trail that PFMA and MFMA audits test, and boards get King IV Principle 12 reporting.
Procurement. Level 1 B-BBEE contributor (sworn affidavit available on request), giving buyers 135% procurement recognition. Company documents, CSD supplier number and tax compliance status are available on request, and we complete SBD forms when a bid requires them. Buy through a proposal, SLA and purchase order, or through a tender response; see company facts.
Continuity. You own your data, credentials, mappings and documentation, and at handover or exit we transfer all of it. Statutory filing links sit under SARS and CIPC integrations.
Frequently asked questions
What is Xero integration? Show answer Hide answer
Xero integration is a connection that reads from or writes to Xero through its published API, so invoices, contacts and payments move between Xero and your other systems automatically. It can be a marketplace app, a workflow on an automation platform or custom integration software. The right choice depends on your volumes, how specific your rules are, and how much control and audit you need.
Which CRM integrates best with Xero? Show answer Hide answer
The CRM that integrates best with Xero is usually the one your sales team already uses well, because Salesforce, HubSpot, Zoho CRM and Pipedrive can all exchange contacts, invoices and payment status with Xero. The differences lie in how each CRM stores quotes and products, and in whether a marketplace connector covers your rules or a custom build is needed.
What is the best way to integrate Shopify and Xero? Show answer Hide answer
For most stores, the best way to integrate Shopify and Xero is to post a daily payout summary, with sales, gateway fees, refunds and VAT on separate lines, rather than one Xero invoice per order. Summaries reconcile cleanly to the bank and keep the ledger readable. Per-order invoices suit business-to-business stores that sell on account and need every invoice in Xero.
Can Sage integrate with Salesforce or HubSpot? Show answer Hide answer
Yes, Sage can integrate with Salesforce or HubSpot, passing customers, quotes, invoices and account balances between the CRM and the ledger. Sage Business Cloud connects through its API, while Sage 50 or Sage 200 installed on a local server needs an agent on your network or a scheduled exchange. We design either route so the Sage database is never exposed to the internet.
How much does ERP integration cost? Show answer Hide answer
ERP integration cost depends on the number of systems, whether data flows one way or two, the quality of the data and any custom rules, so we quote each integration per project after discovery. As a market reference, published South African rates for IT project work run from about R550 to R750 an hour ex VAT (matnet.co.za, September 2026). Marketplace apps add monthly fees set by their vendors.
How long does an ERP integration take? Show answer Hide answer
A single, well-documented connection, such as a store posting daily sales to Xero, can take days, including testing. Multi-system integrations with custom rules, several entities and a parallel run take weeks or months. We give a dated plan after discovery, with the parallel run and the reconciliation sign-off built into the timeline, so your finance team knows when to expect each step.
Can you connect Xero to Power BI? Show answer Hide answer
Yes, we connect Xero to Power BI, through a maintained third-party connector or a small pipeline that copies Xero data into a reporting database on a schedule. The pipeline suits groups that consolidate several Xero organisations or combine Xero with another ERP. Either way, reports refresh automatically, so managers see month-to-date results without manual exports.
