Generative AI tools and LLM integration for your organisation
Generative AI tools use large language models and other generative models to draft, summarise, answer questions and create images from a plain-language prompt. Arke Technologies, in Johannesburg, selects, integrates and governs generative AI for South African organisations, public bodies and schools, connecting models to your own documents and systems under POPIA controls.
What is generative AI?
Generative AI is a type of artificial intelligence that creates new content, such as text, images, audio, video or code, by learning patterns in large amounts of existing data. Defined simply: traditional AI classifies or predicts; generative AI produces.
Is generative AI a type of AI? Yes, a branch of machine learning, and most generative AI models are deep neural networks. Generative AI and large language models are often treated as one thing, but a large language model (LLM) is one kind of generative AI model, trained on text to predict what comes next. The main generative AI algorithms are:
- Transformers, the architecture behind LLMs such as Claude and Gemini.
- Diffusion models, which build an image or video by removing noise step by step; most generative AI images and video come from them.
- Generative adversarial networks (GANs), where one network generates and another judges.
- Variational autoencoders, which compress data and generate variations of it.
Is generative AI supervised or unsupervised? Both, at different stages: models are pre-trained with self-supervised learning on unlabelled data, then refined with supervised fine-tuning and human feedback. How long has generative AI been around?
When was generative AI invented? The ideas are decades old; the tools went mainstream in late 2022.
1966
ELIZA, an early chatbot, produced replies from scripted rules without learning.2014
Generative adversarial networks made realistic synthetic images possible.2017
The transformer architecture was published, the basis of every large language model since.2020
Diffusion models began producing high-quality images.2022
The public release of ChatGPT in November brought generative AI technology to a mass audience.
The generative AI revolution is less sudden than it looks, and the pace of release since 2022 is why any list of the best tools dates within months.

Generative AI tools list: what is available
What generative AI tools are available? More every month, from startups and established vendors, and your office-suite and software licences may already include some. The six categories a buyer meets:
| Category | Examples | Typical business uses | Watch |
|---|---|---|---|
| General assistants | Claude, Gemini, ChatGPT | Drafting, summarising, research, analysis | Free and consumer editions carry weaker data terms |
| Assistants inside your office suite | Microsoft 365 Copilot; Gemini in Google Workspace | Email, documents, meetings and spreadsheets, within your permissions | Oversharing: the assistant sees what the user can see |
| Writing assistants | Grammarly, and the rewrite features in email and document tools | Tone, grammar and rewriting | Text leaving your environment |
| Image, design and video | Image generators, the generative fill in a photo editor, generative AI video tools | Concepts, marketing images, training videos | Copyright, likeness and brand consistency |
| Code assistants | Assistants built into development tools | Writing, testing and explaining code | Security review of generated code |
| Search | Google's generative AI search summaries and AI answer engines | Research and fact-finding | Answers can be wrong or out of date; check the source |
Generative AI free editions suit learning and content with no personal or confidential information. Their terms often let the provider keep prompts or use them to improve its models, depending on settings, which sits badly with POPIA. Business editions and API access carry stronger data commitments, and we check every tool's terms before it touches your data. For Microsoft 365, see Microsoft 365 Copilot readiness.
Generative AI for business: use cases that pay back
How can generative AI be used? The generative AI use cases that pay back first involve heavy reading and writing, a clear source of truth and a person who can check the output quickly. Generative AI ideas for business are cheap; the discipline is funding the right ones.
| Area | Generative AI uses | Where people stay in charge |
|---|---|---|
| Banking and financial services | Generative AI use cases in banking: first drafts of credit memos, summaries of policy and regulation, replies to routine client queries | Credit and compliance officers decide and sign |
| Finance | Generative AI in finance: variance commentary, board-pack drafts, audit working-paper summaries | The finance team owns the numbers |
| HR | Job descriptions, policy questions and onboarding material; generative AI in HR never makes hiring or disciplinary decisions | HR decides on people |
| Marketing and advertising | Generative AI in advertising: draft copy, image concepts and ad variants from generative AI marketing tools | Marketing approves facts, claims and brand |
| Project management | Generative AI for project management: status reports, minutes, risk-log updates from meeting notes | The project manager signs off |
| Consulting and professional services | Generative AI for consulting: proposal drafts, research summaries, first-pass document review | Consultants review everything that goes to a client |
| Higher education | Generative AI in higher education: learner support, course-material drafts, lecturer administration, within an academic-integrity policy | Lecturers assess; the institution sets the rules |
| Public sector | Council and committee minutes, correspondence drafts, summaries of long submissions | Officials sign and remain accountable |
| Design and product | Generative AI design: concepts, layouts and imagery for review | Designers choose and refine |
Why generative AI is good at this: most office work is reading and writing, and a model drafts competently in seconds. Generative AI for business transformation works when it changes a process rather than being bolted onto one; generative AI and innovation meet in the redesign of who drafts, who checks and where the saved time goes.
For accounting, audit and payroll practices, AtlasOS, our platform for professional services firms, includes AI-assisted advisory that gives staff conversational access to overdue tasks, compliance risks and client summaries without replacing judgement. How we integrate large language models
The value comes from connecting a model to your own information. Our generative AI services cover LLM integration end to end:
- Grounding. Retrieval-augmented generation (RAG) searches approved sources, such as policies, contracts, SharePoint libraries or an internal wiki, and gives the model only the passages it needs, so answers cite their source.
- Systems. Through APIs, the model reads a case or ticket and writes back where staff work; see API development and integration.
- Prompts. Tested instructions, versioned like code. Two generative AI prompt examples of the kind we write: "Summarise this tender response against the evaluation criteria in the attached table, citing the page for each point" and "Draft a reply to this ratepayer query using only the tariff policy provided; if the policy does not answer it, say so."
- Guardrails. Input and output filtering, refusal rules and human review where stakes warrant it.
- Cost controls. Logging, budgets, caching and a smaller model wherever it performs as well.
When a task needs several steps and tools, it becomes an agent; see AI agents for business.

The generative AI tech stack
| Layer | Options | How we choose |
|---|---|---|
| Models | Claude from Anthropic; Gemini through Google Cloud; open-weight models | Accuracy on your test cases, cost, and where data may be processed |
| Hosting | Generative AI on Vertex AI in Google Cloud; generative AI on AWS through Amazon Bedrock; Microsoft Azure; your own GPU server | Data sensitivity, existing cloud estate, volume |
| Retrieval | Search and vector indexes over your documents | Document volume, formats and access rules |
| Orchestration | Frameworks such as LangChain, or direct code in Python or TypeScript | Complexity and long-term maintainability |
| Application | Your intranet, Microsoft Teams, a web app, a customer portal or an existing system | Where your staff and customers already work |
| Governance | Identity, access control, logging, evaluation and monitoring | Your policies, POPIA and audit requirements |
Hosting your own LLM makes sense for sensitive data or heavy, steady use: open-weight models, built and run with Python and PyTorch, on a GPU server in your building or a South African colocation facility (private AI and AI infrastructure). Our developers build so the model can be changed without rebuilding the application, and every integration ships with its generative AI documentation: architecture, data flows, prompts, model versions and test results.
Generative AI limitations and legal issues
Generative AI is strong at language and weak on facts it has not been given. A generative AI summit keynote shows the best case; plan for the ordinary one. The main generative AI limitations and legal issues:
Hallucination. Fluent, confident and wrong. We ground models in approved sources, require citations and keep people reviewing where it matters.
Stale knowledge. A model knows only its training data unless given current information.
Bias. Outputs can reflect bias in training data, which matters in HR, credit and public services.
Personal information. POPIA section 72 restricts transfers abroad, and section 71 restricts decisions based solely on automated processing.
Copyright. The law on training data and on ownership of generated work is unsettled in several countries, so generated images and copy get human review and a record of how they were made.
Advertising claims. Generated marketing copy must meet the Consumer Protection Act like any other.
Prompt injection and leakage. Hidden instructions in a document can redirect a model, and staff pasting data into free tools can leak it. We apply filtering, least-privilege access, an acceptable-use policy and approved tools.
Choosing generative AI software and services
Your generative AI options come down to four approaches, and most organisations use more than one:
| Approach | What it means | Suits | Trade-off |
|---|---|---|---|
| Buy | License generative AI software such as office-suite assistants | Broad staff productivity | Limited control; per-user licences |
| Configure | Set up assistants, agents and knowledge sources within those products | Department-level use cases | Depends on clean permissions and content |
| Build | Custom generative AI programs integrated with your systems | Core processes, customer and citizen services | Build cost and ongoing support |
| Host your own | Open-weight models on infrastructure you control | Sensitive data, steady heavy use | Hardware, power and operations |
The generative AI market is crowded with startups and consultants. Generative AI consultants who advise without building, and developers who build without governance, each leave a gap; choose a supplier that shows a system in production and supports it under an SLA. Generative AI for small business usually starts with office-suite assistants (IT for small and medium businesses).
Generative AI skills, training and certification
Adoption decides the return. Staff need generative AI skills that fit their role: writing a clear prompt, knowing what may go into one, checking an output and reporting a wrong answer. We train on your own documents and tools.
For technical staff, a professional certification from a cloud provider such as AWS, Google Cloud or Microsoft shows grounding in the fundamentals, and several providers publish free introductory courses. A generative AI certification is a useful start, not a substitute for experience with your data, controls and users.

What generative AI costs
Last reviewed: September 2026.
| Cost element | How it is priced | What drives it |
|---|---|---|
| Assistant licences | Per user per month | Number of people who get a seat |
| Model usage | Per token, billed by the model provider | Volume, document length, model choice |
| Build and integration | Project quote | Number of sources and systems, controls, testing |
| Hosting | Cloud consumption, or GPU hardware bought once | Data sensitivity, volume, hosting option |
| Support and improvement | Monthly fee under an SLA | Number of systems, review cadence, P1 to P4 response targets agreed in the SLA |
We quote each phase after discovery, so you can fund a pilot before anything larger, and estimate usage costs from your real volumes first.
Governance, compliance, procurement and continuity
Governance and reporting. A named lead; a monthly report on sampled accuracy, usage, cost and incidents; escalation paths; change control for prompts, sources and model versions. AI recommends, people decide, and every AI action is logged.
Compliance. POPIA controls: data minimisation, encryption in transit and at rest, access controls and audit logging, and a documented basis under section 72 wherever prompts or documents are processed outside South Africa; ISO 27001-aligned security; King IV Principle 12 reporting; PFMA or MFMA documentation for public bodies. We never train models on client data without explicit consent.
Procurement. Level 1 B-BBEE contributor, giving 135% procurement recognition (sworn affidavit available on request); company documents, bank confirmation letter, CSD supplier number and SARS tax compliance status on request; standard bidding documents (SBD forms) completed when a bid requires them. Buy by proposal, SLA and purchase order, or by tender; see procuring from Arke.
Continuity. One contract and one accountable team cover the build and its support. You own your data, prompts, configurations, code and documentation; because we build so the model can be swapped, a model change does not mean a rebuild, and on exit we hand over everything, credentials included.
Frequently asked questions
What is generative AI? Show answer Hide answer
Generative AI is a type of artificial intelligence that creates new content, such as text, images, audio, video or code, from patterns learned in large amounts of existing data. Large language models such as Claude and Gemini are familiar examples. In business it mostly drafts, summarises and answers questions, with people checking the output.
Is generative AI supervised or unsupervised? Show answer Hide answer
Generative AI is mostly trained with self-supervised learning, a form of unsupervised learning in which the model learns from unlabelled data by predicting the next or missing piece. It is then refined with supervised fine-tuning and human feedback, so the honest answer is both, at different stages of training.
When was generative AI invented? Show answer Hide answer
Generative AI has no single invention date. Early text generators such as ELIZA date from 1966, generative adversarial networks from 2014 and the transformer architecture behind large language models from 2017. It became mainstream after ChatGPT's public release in November 2022, which is why many assume it is newer than it is.
What generative AI tools are available for business? Show answer Hide answer
The main generative AI tools for business are general assistants such as Claude and Gemini, assistants built into office suites such as Microsoft 365 Copilot, writing assistants, image and video generators, code assistants and generative search. The best choice is usually the tool closest to your data, configured so each user sees only what they should.
Are free generative AI tools safe to use at work? Show answer Hide answer
Free generative AI tools are safe for learning and for content with no personal or confidential information, but not for customer, learner, patient or employee data. Their terms often allow the provider to keep prompts or use them to improve its models. Business editions carry stronger commitments, and an acceptable-use policy tells staff which tools are approved.
Can we host our own LLM? Show answer Hide answer
Yes, hosting your own LLM is practical when data is sensitive or use is heavy and steady. An open-weight model runs on a GPU server on your premises or in a South African colocation facility, so prompts and documents stay under your control. It costs more to set up than a cloud service and needs sizing, support and governance, which we provide.
How much does generative AI cost? Show answer Hide answer
Generative AI costs combine licences, usage and integration. Office-suite assistants are licensed per user per month, API model access is billed per token, and connecting models to your documents and systems is quoted as a project, plus hosting and a monthly SLA fee. We estimate running costs from your real volumes before you commit.
