Microsoft 365 Copilot readiness and deployment
Microsoft 365 Copilot is Microsoft's AI assistant inside Word, Excel, PowerPoint, Outlook and Teams, working over your organisation's email, files, chats and meetings. For organisations across South Africa, Arke Technologies in Johannesburg prepares the tenant, supplies the licences, pilots Copilot with a measured group and rolls it out without exposing files people should never see.
What M365 Copilot does, and what it can see
M365 Copilot combines a large language model with Microsoft Graph, the index of your organisation's mail, calendars, chats, meetings and files. Ask it to summarise a thread or list the actions from a Teams meeting, and it assembles the answer from content the user is already allowed to open.
That permission model is the whole readiness question. Copilot creates no new access, but it makes existing access far easier to use: a salary spreadsheet shared with everyone years ago becomes one question away for anyone in the tenant. Oversharing builds up quietly over the years, so we fix permissions before licences are assigned. Copilot readiness is part of our wider AI consulting and implementation service; for content that should never reach a cloud service, see private AI.

Microsoft 365 Copilot, Copilot Chat and Office 365 Copilot: which is which
Microsoft's naming changes often, so buyers search for the same product under several names. Copilot 365, M365 Copilot and Office 365 Copilot usually all mean the paid Microsoft 365 Copilot licence, which can be added to most current Microsoft 365 and Office 365 business, enterprise and education plans.
| Microsoft 365 Copilot | Microsoft 365 Copilot Chat | Copilot Studio agents | |
|---|---|---|---|
| What it is | Paid add-on licence per user | Chat assistant included with eligible Microsoft 365 work and school accounts | Custom agents built for your own processes |
| Works over your work data | Yes: mail, files, chats and meetings, within each user's permissions | Web-grounded by default; reaches work data through the open document, files a user adds or agents | Through the sources and actions you connect |
| Where it appears | Word, Excel, PowerPoint, Outlook, Teams and the Microsoft 365 Copilot app | The Microsoft 365 Copilot app, Teams, the browser and, increasingly, the Office apps | Copilot Chat, Teams or a website |
| How it is paid for | Per user per month, set by Microsoft | Included; some agent use is metered | Metered or capacity-based, set by Microsoft |
| Best for | People whose work is documents, email and meetings | Everyone, as a safe starting point | Repeatable requests such as HR or IT questions |
Licensing terms change during the year, so we confirm the position for your plan mix when we scope. Copilot and AI agents are also converging: agents built in Copilot Studio can log a leave request or answer from a policy library, and we build them with the same controls as any AI agent.

Is there a Microsoft 365 Copilot download?
There is no separate installer for the licensed product. Once a Microsoft 365 Copilot licence is assigned, Copilot appears inside the desktop, web and mobile Microsoft 365 apps the user already has, provided they are on a supported update channel. The Microsoft 365 Copilot app, previously the Microsoft 365 app and before that the Office app, runs on Windows, iOS, Android and the web as the starting point for chat, files and agents.
On managed devices we deploy and update the apps through Intune, so every user runs Copilot on the same supported build. Install the apps only from Microsoft or the official app stores.

Copilot readiness: what we fix before you switch it on
Licensing. Which of your Microsoft 365 or Office 365 plans qualify and which roles should get a seat first. See Microsoft 365 licensing and management.
Oversharing clean-up in SharePoint and OneDrive. Find content shared with everyone or through open links, restrict it and fix site ownership. See SharePoint, intranets and document management.
Sensitivity labels. Classify confidential material so Copilot respects its protection and the label carries through to what Copilot produces.
Data-loss prevention. Policies that keep sensitive information, such as ID numbers and banking details, where it belongs.
Identity and devices. Multi-factor authentication, conditional access in Entra ID and Intune device compliance. See Microsoft 365 security and zero trust.
Retention and records. Retention rules for Copilot interactions and Teams meetings that match your records obligations.
Pilot design and adoption measurement. The group, the tasks, the baseline and the measures, agreed before launch.
How we deploy Copilot 365, from pilot to rollout
01.
Readiness assessment
We review sharing, permissions, labels, identity, devices and licensing, and rank the fixes.
02.
Remediation
We close what would expose sensitive content, starting with personal information, finance and HR records.
03.
Pilot
A group from different roles uses Copilot on real work, measured against a baseline taken beforehand.
04.
Measurement
Usage reports, short surveys and sampled outputs show which roles benefit.
05.
Rollout by role
Licences go to the roles that proved the value, with training built around their daily tasks.
06.
Run and review
Monthly reviews cover usage, incidents and new sharing risks; unused seats are reassigned or dropped at renewal.
What Copilot costs to run
Last reviewed: September 2026.
Microsoft 365 Copilot is licensed per user per month as an add-on to a qualifying plan, at a price Microsoft sets. Our guide to Microsoft 365 plans and what they cost to run covers the base plans Copilot is added to. The licence is the visible cost; three others decide whether it pays back:
- Readiness work, driven by the number of SharePoint sites and Teams, the state of sharing and whether labels already exist.
- Unused seats, which is why we pilot first and license by role rather than for everyone.
- Adoption and training, without which usage tends to fade after the first weeks.
We quote readiness as a fixed-scope project and supply Copilot with your Microsoft 365 licences, so one supplier answers for tenant, licences and support.

Governance, POPIA and compliance
Copilot processes personal information wherever your mail and files hold it, so it carries the same POPIA duties as the rest of your tenant. We configure it so you can show:
who has Copilot and what it can reach, through permission and licence reports;
that Copilot interactions are recorded in Microsoft Purview audit and kept under your retention policy;
that sensitive content is labelled and covered by data-loss prevention;
that changes to labels, data-loss prevention and Copilot settings go through change control and are reported in the monthly service review;
that decisions affecting people stay with people, in line with our AI governance principles.
Microsoft states that prompts, responses and Microsoft Graph data are not used to train its foundation models. For boards, Copilot sits under King IV Principle 12 on technology and information governance; for public bodies, we document the configuration for PFMA or MFMA audit. Schools can pair this with Microsoft 365 Education setup.
Risks and how we prevent them
| Risk | What happens | How we prevent it |
|---|---|---|
| Oversharing | Copilot surfaces files a user can open but should never see | Permission clean-up and restricted sites before licences |
| Confident errors | A draft states a wrong figure or cites the wrong document | Training on checking outputs; human review of anything external |
| Unused licences | Seats bought for everyone, used by few | Pilot, measure, license by role |
| Meeting data | Transcripts capture personal information | Clear transcription settings, notices and retention rules |
| Agent scope creep | An agent gains access to more systems than it needs | Named owner, narrow permissions, change control |
Procurement and continuity
Level 1 B-BBEE contributor (sworn affidavit available on request); company documents, CSD supplier number and SARS tax compliance status on request.
Buy by proposal and purchase order, or through your tender process.
You keep full administrative control of your tenant, licences sit in your own tenant, and you receive documentation of every label, policy and setting we configure.
Support continues under our managed IT SLA, or ends with a documented handover.
Frequently asked questions
How much does Microsoft 365 Copilot cost? Show answer Hide answer
Microsoft 365 Copilot is an add-on licence billed per user per month at a price Microsoft sets, on top of a qualifying Microsoft 365 or Office 365 plan. The licence is only part of the cost: readiness work, training and unused seats decide whether it pays back. We quote readiness as a fixed-scope project and confirm current licence pricing for your plan mix when we scope.
What is the difference between Microsoft 365 Copilot and Copilot Chat? Show answer Hide answer
Microsoft 365 Copilot is the paid per-user licence that works over your mail, files, chats and meetings inside the Office apps. Copilot Chat is included with eligible Microsoft 365 work and school accounts and answers from the web by default, reaching work data only through agents or files a user supplies. Many organisations start everyone on Copilot Chat and license the full product by role.
Does Copilot work with Office 365 plans? Show answer Hide answer
Yes, the Copilot add-on can be attached to most current Microsoft 365 and Office 365 business, enterprise and education plans, although eligibility and terms change. A search for Office 365 Copilot is usually a search for the same Microsoft 365 Copilot licence. We check which of your plans qualify, and whether a plan change would cost less overall, during the readiness assessment.
Can Copilot see files a user should not see? Show answer Hide answer
Copilot shows a user only content that user is already permitted to open, but that includes anything overshared. Files shared with everyone, open links and forgotten site memberships all become easy to find with a single question. That is why we clean up SharePoint and OneDrive permissions and apply sensitivity labels before any licence is assigned.
Is Microsoft 365 Copilot POPIA compliant? Show answer Hide answer
Copilot can be used in line with POPIA, but compliance depends on how your tenant is configured, not on the product alone. You need access controls, labels on sensitive information, retention rules and an audit trail, and people must still make decisions that significantly affect others. We configure and document those controls for your information officer.
How long does Copilot readiness take? Show answer Hide answer
Readiness takes as long as your permissions clean-up: short for a tidy tenant, longer where years of open sharing need unwinding. Remediation time depends on the number of SharePoint sites, Teams and open links. A pilot then runs for an agreed period before wider rollout, and we give you a dated plan once the assessment is done.
