CRM implementation and call centre CRM software: Salesforce, HubSpot and Zoho
Call centre CRM software records every customer, call, case and sale in one place, so agents see the history and managers see service levels. Arke Technologies, in Johannesburg, implements, integrates and supports Salesforce, HubSpot and Zoho CRM for South African organisations, public-sector bodies and education institutions, connected to phones, email and finance systems.
What CRM and call centre CRM software do
Customer relationship management (CRM) is the system that holds every customer, contact, deal and service case, with the history of each conversation. Sales teams use it to manage the pipeline, service teams to resolve cases, and managers to see what is happening. For the fundamentals, read what is CRM; this page covers how we implement it as part of our business software service.
Call centre CRM software adds the functions a contact centre lives by:
- Screen pop and click-to-call. An inbound call opens the caller's record, and agents dial from the record.
- Case management. Every call, email and chat becomes a case with an owner, a priority and a status.
- Routing and service levels. Cases route by skill and priority, SLA timers run, and overdue cases escalate.
- Knowledge and quality. A knowledge base for consistent answers, call outcomes for quality review, and supervisor dashboards, in the CRM or in Power BI, for queues, handling times and first-contact resolution.

Salesforce, HubSpot and Zoho compared
We implement Salesforce, HubSpot and Zoho, and choose between them on your processes, user numbers and budget over the contract term, not on brand.
| Platform | Strengths | Typical fit | Watch-outs |
|---|---|---|---|
| Salesforce CRM (Sales Cloud and Service Cloud) | Deep customisation with custom objects; industry editions such as Salesforce Financial Services Cloud; Salesforce Order Management (OMS) for commerce | Large and regulated organisations with complex processes and many teams | Higher cost per user; needs an administrator and firm governance |
| HubSpot CRM | Marketing, sales and service hubs on one CRM system; HubSpot's CMS for websites; free CRM tools to start | Marketing-led and mid-sized organisations | Costs rise with contacts and hubs; less suited to complex data models |
| Zoho CRM | A broad suite at modest cost: Desk for support, Books for accounting, Zoho POS for retail counters | Growing organisations already using Zoho apps | Check depth for large contact centres and complex permissions |
| Microsoft Dynamics 365 Sales and Customer Service | Close ties to Microsoft 365 and Teams | Microsoft-centred enterprises | We deliver the integration and data work around it; see our ERP page for Dynamics licensing |
Salesforce, still often called SFDC, is the most configurable CRM system of the three, and its Financial Services Cloud gives banks, insurers and wealth managers a ready data model for households, financial accounts and advisers. A HubSpot CRM system suits teams whose growth starts with marketing. Zoho suits organisations that want CRM, support and accounting from one supplier. Other platforms, such as SugarCRM, appear in tenders too, and we assess them against the same requirements.
Sector fit matters as much as features. CRM software for accountants must track clients, entities and deadlines as well as sales; for accounting and tax practices, AtlasOS, our practice platform, covers what a generic CRM does not (visit the AtlasOS site (opens atlaspractice.app)). See also ERP implementation for Dynamics 365, and IT for financial services.

Call centre CRM software: phones, channels and service levels
A call centre CRM is only as useful as its link to the phones. We connect the CRM to your telephony, so every call is logged against the right record with its outcome and, where you record calls, the recording.
- Teams Phone and hosted PBX. Microsoft Teams Phone, or a hosted PBX such as 3CX over SIP trunks, integrated with Salesforce, HubSpot or Zoho. See Microsoft Teams, VoIP and business telephony.
- Cloud diallers. HubSpot connects to cloud telephony such as Aircall through its app marketplace, and Zoho offers telephony integrations of its own; we configure and test them against your queues.
- One queue for every channel. Email, web forms, web chat and the WhatsApp Business API feed one case queue with one set of service levels.
- Recordings and POPIA. Call recordings and chat logs are personal information, so we set retention periods, access rights and the notice callers hear.

CRM integration: email, websites, finance and commerce
CRM integration decides whether people use the CRM or work around it.
- CRM for Google Workspace and Microsoft 365. Salesforce, HubSpot and Zoho all sync with Gmail and Outlook, so a CRM for Google users works from the inbox; Exchange Online sync needs the right permissions and retention settings. See Google Workspace and Microsoft 365.
- CRM for WordPress and other websites. Web forms post straight into the CRM with consent recorded, whether the site runs on WordPress, HubSpot's CMS or custom code.
- Finance and ERP. Quotes, orders, invoices and credit limits flow between the CRM and your accounting software or ERP.
- Commerce and retail. Online orders and point-of-sale sales, from Zoho POS or another till system, add purchase history to the customer record.
Salesforce documents its integration patterns (request and reply, fire and forget, batch data synchronisation, remote call-in, and UI update on data change), and we choose a pattern per data flow. Most work runs over the Salesforce REST API, with the Bulk API for large loads and platform events for near-real-time changes. For workloads on Amazon Web Services, Salesforce Private Connect carries that traffic privately between Salesforce and your AWS environment instead of over the public internet.
Integrations fail in predictable ways. An INVALID_SESSION_ID error means an expired or revoked session, so every integration we build refreshes its tokens and alerts on failure. Each integration user holds only the CRUD permissions it needs in Salesforce (create, read, update and delete, object by object), with field-level access to match. See API development and integration.

Partner portals and partner relationship management
If you sell through dealers, resellers or franchisees, partner relationship management (PRM) extends the CRM to them. In Salesforce, a partner portal, built on Experience Cloud and still called the partner community by many teams, lets each dealer register deals, work leads and see its own pipeline. The mechanics decide cost and control:
- Partner accounts and users. A partner account is an ordinary Salesforce account enabled for partner access, and each dealer's staff become partner users when they join the portal.
- Super user access. A partner super user can see colleagues' records within the same partner account, which suits dealer principals.
- Partner object and roles. The Partner object and partner roles on opportunities record which dealer took part in each deal.
- Licences. Salesforce sells partner community licences per member or per login, so partner community pricing follows how often dealers log in. We model both options before you license anyone.
A well-run portal gives a dealer network one place for leads, pricing and marketing material, and gives you clean data on which dealers sell.

Choosing a CRM implementer: what partner status tells you
Salesforce, HubSpot and Zoho each run partner programmes. Salesforce's Partner Program admits consulting companies, which implement, and ISV firms, which build apps for the AppExchange ecosystem and its customers. Consulting firms become partners by accepting the Partner Program Agreement and training their people on Trailhead and Salesforce's Partner Learning Camp; Salesforce grades them in levels (Base, Ridge, Crest and Summit) on certifications, customer satisfaction and delivery. Its partner finder lists companies worldwide, from the Netherlands (Nederland) to South Africa, so you can find firms by country and industry.
Status is a signal, not proof of the team you will get, and a partner logo on a website, usually a PNG badge, tells you less than the vendor's own partner finder. Before you appoint any implementer, us included, check:
Named consultants and certifications. Each consultant's Trailhead profile lists current Salesforce certifications; confirm the named people will do the work.
A demo org of your process. One real process working in a demo org or sandbox, not a slide deck.
References. Two organisations of your size and sector, on the same platform, that you can phone.
Awards in context. Partner of the year titles, including those for implementation work, and seats on a vendor's advisory board reflect a firm's standing with the vendor; ask which of the people behind them would join your project.
Support after go-live. Who handles user requests, Salesforce's three major releases a year and integration failures, under what SLA.
How we implement CRM
01.
Discovery
Working as your business architect, we map how leads, cases and customers move today, and what managers need to see.
02.
Platform choice
Salesforce, HubSpot or Zoho, scored against your requirements, user numbers and cost over the contract term.
03.
Design
The data model (objects, fields and record types), roles and sharing rules, and the reports, designed before configuration.
04.
Data migration
De-duplicated records, with consent and opt-out status carried across; see data migration.
05.
Integration
Phones, email, website, ERP and messaging channels, each with monitoring.
06.
Testing and training
Agents and sales staff test real scenarios, and a super user in each team carries the knowledge forward.
07.
Go-live and support
Hypercare after launch, then administration and changes under an SLA with a monthly service review.
What CRM costs, and what drives it
Salesforce, HubSpot and Zoho publish subscription prices per user per month, and HubSpot also prices marketing by the number of contacts. What drives the total:
Users and user types. Full users, service agents and portal or community users are priced differently.
Editions and add-ons. Service, marketing, CPQ, telephony and industry clouds each add cost.
Implementation scope. Processes, custom objects, integrations and the volume of data to migrate.
Telephony. Numbers, call minutes and recording storage.
Administration. Ongoing changes, vendor releases and user support.
Published South African rates for IT project work run from about R550 to R750 an hour ex VAT (matnet.co.za, September 2026). We quote implementation per project after discovery, and administration and support per month under an SLA.

Governance, compliance, procurement and continuity
Governance and reporting. A named lead, a steering review at each phase gate, change control for new fields, automations and integrations, and a monthly service review with usage and data-quality reporting after go-live.
Compliance. POPIA for customer and caller data: the lawful basis and consent recorded, opt-outs honoured on every channel, retention periods for recordings, role-based access, audit logs, and an operator agreement where we process personal information for you. ISO/IEC 27001-aligned controls, and King IV Principle 12 reporting for boards.
Procurement. A registered company since 2017 and a Level 1 B-BBEE contributor (sworn affidavit available on request), giving buyers 135% procurement recognition. Company documents, CSD supplier number and tax compliance status are available on request, and we complete SBD forms when a bid requires them. Buy by proposal and purchase order, or by tender response; see company facts.
Continuity. Your CRM org or account is registered to your organisation, and you own the data, credentials and documentation. We schedule exports or backups of your CRM data to storage you control, so Zoho disaster recovery, like recovery for Salesforce and HubSpot, never depends on the vendor alone.
Frequently asked questions
What is the best call centre CRM software? Show answer Hide answer
The best call centre CRM software is the one that fits your channels, volumes and processes and connects cleanly to your phones. Salesforce Service Cloud suits large, complex contact centres; HubSpot suits marketing-led teams with a service desk; Zoho suits cost-conscious organisations. Telephony integration, routing and service-level reporting matter more than the brand, so we test them against your real queues.
Is HubSpot CRM free? Show answer Hide answer
Yes, HubSpot offers free CRM tools for contacts, deals and basic tasks, and charges for its marketing, sales, service and content hubs as you add features and users. Marketing is also priced by the number of contacts. The free tools suit a first step; a call centre usually needs paid service features for queues, routing and reporting.
What is a partner portal in Salesforce? Show answer Hide answer
A partner portal in Salesforce is a secure site, built on Experience Cloud, where your dealers or resellers log in to register deals, work leads and see their own pipeline. Each dealer is a partner account and its staff are partner users, whom Salesforce licenses per member or per login. It suits organisations that sell through a channel.
How much does CRM implementation cost? Show answer Hide answer
CRM implementation cost depends on users, processes, integrations and data volume, on top of the vendor's per-user subscriptions. Published South African rates for IT project work run from about R550 to R750 an hour ex VAT (matnet.co.za, September 2026), and scope decides the hours. We quote each implementation per project after discovery, and ongoing administration per month under an SLA.
How do we keep CRM data POPIA compliant? Show answer Hide answer
Keep CRM data POPIA compliant by recording the lawful basis and consent for each contact, honouring opt-outs on every channel, limiting access by role and logging who sees what. Call recordings and chat logs need retention periods and a notice to callers. We configure these controls during implementation and review them at each monthly service review.
