Microsoft 365 price in brief
- A subscription, not a purchase. Microsoft 365 is billed per user per month on a monthly or annual term; if the subscription lapses, the apps fall back to viewing documents only.
- Plans come in families. Business plans (Basic, Standard and Premium) serve up to 300 users each; enterprise plans (E3 and E5) have no cap; frontline (F1 and F3) and education (A1, A3 and A5) plans serve particular groups.
- The term changes the price. A monthly term costs more per user than an annual commitment, and an annual term fixes your seat count until renewal.
- Prices move. Microsoft raised list prices for most business, enterprise and frontline plans from 1 July 2026, with local adjustments by country and currency; existing subscriptions move to the new prices at renewal (Microsoft, December 2025).
- For current rand prices of annual subscriptions, see Server Hub's Microsoft 365 price guide (opens serverhub.co.za).
Office 365, O365, MS Office: one product, many names
Price lists, tender specifications and search boxes use a tangle of names for one service. Office 365, O365 (sometimes typed as 0365), Office365, MS Office 365, MSOffice365 and even Office360 all mean Microsoft's subscription suite, which Microsoft renamed Microsoft 365 for most business plans in 2020. Some enterprise and education plans still carry the Office 365 name, which is why one quote can mention both.
"Windows Office 365" is a common but mistaken label: Windows is licensed separately, as explained below. Older price lists sold MS Office packages, boxed or downloadable copies of the Office apps. Today the Microsoft package an organisation buys is a subscription plan per user, and Microsoft's consumer plans (Personal and Family) are not licensed for business use.
The practical point for a buyer: when you compare an Office 365 price with a Microsoft 365 price, or one supplier's MS 365 pricing with another's, check that the plan, term and inclusions match.

Microsoft 365 plans and pricing: how the families compare
Microsoft licenses Microsoft 365 per user, and each plan builds on the one below it. The table gives the outline (Microsoft, September 2026); your assessment decides the mix.
| Plan | Built for | What it includes, in outline |
|---|---|---|
| Microsoft 365 Business Basic | Organisations of up to 300 users | A business mailbox, Teams, SharePoint, 1 TB of OneDrive storage per user, and the web and mobile Office apps |
| Microsoft 365 Business Standard | Up to 300 users who need desktop apps | Business Basic plus desktop Word, Excel, PowerPoint and Outlook on up to five PCs or Macs, five tablets and five phones per user |
| Microsoft 365 Business Premium | Up to 300 users who handle sensitive data or work on the move | Business Standard plus Intune device management, conditional access, Defender for Business and Defender for Office 365 Plan 1 |
| Microsoft 365 Apps for business or for enterprise | People who need only the desktop apps | Word, Excel, PowerPoint and Outlook with OneDrive, without a business mailbox |
| Office 365 E1, E3 and E5 | Larger organisations that manage devices and Windows another way | Enterprise mail, collaboration and compliance; E3 and E5 add the desktop apps |
| Microsoft 365 E3 and E5 | Larger organisations, and those with heavier compliance duties | Office 365 E3 or E5 plus Windows Enterprise, Intune and Entra ID; E5 adds advanced threat protection, identity protection, analytics and telephony |
| Microsoft 365 F1 and F3 | Frontline staff on shared or mobile devices | Teams, SharePoint and OneDrive; F3 adds web and mobile Office apps and a small mailbox |
| Office 365 A1, Microsoft 365 A3 and A5 | Schools, colleges and universities | Academic prices for verified institutions, including a free web-based A1 tier |
Two things to check before you compare quotes. Microsoft sells some plans with and without Teams, so make sure quotes are like for like. And plans can be mixed in one tenant: a finance team on Business Standard, frontline staff on F3 and administrators on stronger security, with the 300-user cap applying to each business plan.
Business Basic, Standard or Premium?
Microsoft 365 Business Basic suits staff who work in the browser and on their phones: email, Teams, file storage and the web versions of Word and Excel, at the lowest business price.
Microsoft 365 Business Standard adds the installable desktop apps. They matter for finance teams working in large Excel models, for documents with complex formatting, and for anyone who must keep working offline during load-shedding or an internet outage.
Microsoft 365 Business Premium adds the controls most organisations handling personal information need: Intune to enforce encryption and updates and to wipe a lost or stolen laptop, conditional access to block risky sign-ins, and Defender for Business and Defender for Office 365 against malware and phishing. It bundles protections that would otherwise be bought one by one.
So the difference between Business Standard and Premium is security and device management, not apps: both include the same desktop apps. Premium earns its place for staff who hold client, learner or patient information on laptops that leave the office.
Microsoft 365 E3 and E5: when enterprise plans make sense
Enterprise plans have no user cap, so organisations above 300 users move most staff onto them. They also suit smaller organisations with heavier duties. Microsoft 365 E3 combines the desktop apps, enterprise mail and collaboration, Windows Enterprise, Intune and Entra ID, with compliance tools for retention and eDiscovery. Microsoft 365 E5 adds advanced threat protection across email, devices and identities, risk-based sign-in controls, advanced eDiscovery and audit, Power BI analytics and telephony.
Few organisations need E5 for everyone. A practical pattern is E3 for most staff, with E5, or an E5 security add-on, for the people who hold the most sensitive access: administrators, finance staff and executives. An Office 365 E3 licence, often confused with Microsoft 365 E3, leaves out Windows Enterprise and Intune, so it suits organisations that license and manage devices in another way.
Frontline, education, nonprofit and public-sector buyers
Frontline staff. F1 and F3 plans are for frontline roles, such as shop-floor, clinic and field staff who do not work at a dedicated PC and share devices or work mainly on phones. Office-based staff need a business or enterprise plan; an F plan assigned outside Microsoft's frontline terms is a compliance risk.
Schools, colleges and universities. Education plans carry academic prices for verified institutions, including the free web-based Office 365 A1; see Google Workspace and Microsoft 365 for Education.
Nonprofits. Microsoft's nonprofit programme donates Business Basic licences for up to 300 users to eligible registered nonprofits and discounts paid plans such as Business Premium (Microsoft, July 2025). We check eligibility before quoting; see IT for nonprofits and NGOs.
Public bodies. Microsoft's Government plans serve United States government clouds, so South African departments, municipalities and state-owned entities license commercial or education plans, bought within PFMA or MFMA procurement rules. National and provincial departments must also follow the SITA Act; see PFMA, MFMA and ICT procurement and SITA and government IT.
Add-ons that change the monthly total
Microsoft 365 Copilot. A paid add-on per user on top of a qualifying plan; Copilot Chat, grounded in the web, comes with work accounts. Copilot surfaces whatever a user can open, so fix permissions and apply sensitivity labels first; see Microsoft 365 Copilot readiness.
Defender for Office 365. Email and collaboration protection in Plan 1 (included in Business Premium) and Plan 2 (included in E5), available as an add-on to other plans.
Intune and conditional access. Included in Business Premium and Microsoft 365 E3 and E5, and available as add-ons to other plans.
Teams Phone and audio conferencing. Calling ordinary phone numbers from Teams needs telephony licences plus a connection to the phone network, such as a SIP trunk; see Microsoft Teams, VoIP and business telephony.
Storage and archiving. Extra SharePoint storage and mailbox archiving are licensed on top when the included allowances run short.
Windows 365. Cloud PCs are licensed per user per month, separately from Microsoft 365.
Backup. Microsoft keeps the service available, but that is not a backup of your data. Budget for independent backup of mail, OneDrive, SharePoint and Teams; see backup and disaster recovery.
What Microsoft 365 really costs to run
The licence buys access to the service. Running it safely costs more, and the useful number for a finance director is the total per user per month across five layers.
| Layer | What it covers | How it is usually priced |
|---|---|---|
| Licences | The plan mix, add-ons and term | Per user per month, on a monthly or annual term |
| Administration | Joiners, movers and leavers, licence reclaim, mail flow, Teams and SharePoint permissions, updates | Inside a managed IT fee per user per month, or by the hour |
| Security | Multi-factor authentication, conditional access, Defender tuning, email authentication, alert handling | Inside the managed IT fee, or as a separate security service |
| Backup and recovery | Independent backup of mail, OneDrive, SharePoint and Teams, with tested restores | Per user or per volume of data |
| Set-up and migration | Tenant design, migration, device enrolment and training | Quoted as a project |
For the administration and security layers, published South African managed IT rates run from about R180 to R400 per user per month (matnet.co.za, September 2026), with some providers listing R450 (MiBOT, September 2026), usually for a wider scope than Microsoft 365 alone. Where project work is charged by the hour, published rates run from about R550 to R750 ex VAT (matnet.co.za, September 2026).
The avoidable costs are waste and gaps. Licences left on leavers' accounts, E5 bought for everyone, and a Business Basic estate topped up with separate security products all cost more than a considered plan mix. Shared mailboxes under 50 GB, such as an accounts or info address, need no licence of their own. Under-licensing costs money too, when a missing control turns into an incident. We review licence assignment at every monthly service review.
For Arke Technologies clients, licences are supplied monthly or annually for the plan mix your assessment supports, administration sits inside the managed IT fee per user per month, and migrations are quoted per project; see managed IT pricing and how much managed IT services cost.
Monthly or annual: how the term changes the price
| Term | Price per user | Flexibility | Suits |
|---|---|---|---|
| Monthly term | Highest | Add or remove seats each month | Seasonal or project staff, and pilots |
| Annual term, paid monthly | Lower | Add seats at any time; reduce only at renewal | A stable headcount with monthly cash flow |
| Annual term, paid upfront | Lowest | As above, with the year paid in advance | A stable headcount and budget certainty |
Microsoft allows only a short cancellation window after an annual purchase, so size the seat count carefully and keep seasonal staff on monthly licences. An annual term also holds its price for the year, which shields your budget from Microsoft's periodic price changes and from exchange-rate movements. South African subscriptions are billed in rand with VAT, so keep your VAT number on the account to receive valid tax invoices for your input tax claims.
Lifetime licences, Macs and Windows
Is there a lifetime Microsoft 365 price? No. Microsoft 365 is sold only as a subscription. The once-off alternative is Office 2024: a perpetual licence for one PC or Mac with the desktop apps, but no business mailbox, no Teams, no SharePoint and no new features, and its security updates end on a fixed date. It suits a machine that must run offline, not an organisation's staff. Cheap "lifetime" MS Office keys sold online are usually volume or education keys resold outside their terms; Microsoft can deactivate them without warning, and they leave you with no valid proof of licence in an audit.
Is Microsoft 365 for Mac priced differently? No. The same user licence covers Word, Excel, PowerPoint and Outlook on Windows PCs and Macs, within the limit of five PCs or Macs, five tablets and five phones per user on plans with desktop apps.
Does Microsoft 365 include Windows? Only partly. Microsoft 365 E3 and E5 include Windows Enterprise, and Business Premium includes Windows Business, as upgrades for PCs already licensed for Windows Pro; other plans include no Windows licence. Server Hub, our trading division for IT hardware, supplies workstations and genuine business software.
OneDrive pricing and storage
OneDrive has no separate price inside the Microsoft 365 business and enterprise plans: each licensed user gets 1 TB of OneDrive storage (Microsoft, September 2026), and the organisation's SharePoint storage grows with the number of licences. People who need only file storage can be licensed for OneDrive on its own. The consumer OneDrive price, bundled into Microsoft's personal plans, is for individuals, not organisations.
Storage is seldom the constraint; governance is. Files kept in personal OneDrives leave with the person unless someone acts, so we put team files in SharePoint and Teams and transfer a leaver's files as part of offboarding. Our guide to SharePoint vs OneDrive shows how to decide where each collection of files belongs.
How to choose the right plan mix
01.
Group users by role
office staff, finance and legal, executives and administrators, and frontline or shared-device users.
02.
List what each group needs
desktop apps, a full mailbox, device management, advanced security, retention and eDiscovery, telephony.
03.
Check eligibility for education or nonprofit pricing.
04.
Match each group to the lowest plan that meets its needs, adding stronger security for high-risk roles.
05.
Choose the term for each group
annual for stable staff, monthly for seasonal or project staff.
06.
Add only the add-ons you will use, starting Copilot with a measured pilot.
07.
Review every month, reclaiming leavers' licences and adjusting the mix as roles change.
How Arke Technologies supplies and runs Microsoft 365
We supply Microsoft 365 licences monthly or annually, and deploy, migrate, secure and administer tenants under one service-level agreement (SLA) as part of our Microsoft 365 service. Every engagement runs from discovery and assessment to a proposal, the SLA, onboarding and a monthly service review, and we keep a licence register that reconciles to invoices; see software licensing and licence management.
Governance. Incidents are prioritised from P1 (critical outage) to P4 (low-impact request), with response and resolution targets agreed in your SLA. A monthly service review covers licences in use, security alerts, risky sign-ins and changes made, giving the board evidence for King IV Principle 12.
Compliance. Mailboxes and OneDrive hold personal information, so we apply retention, sensitivity labels, data-loss prevention and audit logging on the plans that include them, aligned with ISO/IEC 27001, and document them for your Information Officer under POPIA. See Microsoft 365 security.
Procurement. Arke Technologies (Pty) Ltd is a Level 1 B-BBEE contributor (135% procurement recognition; sworn affidavit available on request). Company documents, our CSD supplier number and SARS tax compliance status are available on request. Municipalities, public entities and state-owned entities can buy through a proposal and purchase order or a tender response; national and provincial departments also follow the SITA Act.
Continuity. Your tenant, domains, data and global administrator credentials stay yours. If you change provider, we hand over admin access, licence records and documentation.

Frequently asked questions
How much does Microsoft 365 cost for a business? Show answer Hide answer
Microsoft 365 for business costs a monthly fee per user that rises from Business Basic to Business Standard to Business Premium, and an annual term costs less per user than a monthly one. Server Hub publishes current rand prices for annual subscriptions. Running it adds administration, security and backup; published managed IT rates run from about R180 to R400 per user per month (matnet.co.za, September 2026).
What is the difference between Microsoft 365 Business Standard and Premium? Show answer Hide answer
Business Premium adds security and device management to Business Standard; the apps are the same. Premium includes Intune to manage and wipe devices, conditional access to block risky sign-ins, and Defender for Business and Defender for Office 365 Plan 1 against malware and phishing. For staff who handle personal information on laptops that leave the office, Premium is usually the sound choice.
Is Microsoft 365 Business Premium worth it? Show answer Hide answer
For most organisations subject to POPIA, yes, at least for staff who handle personal information or work away from the office. Premium bundles device management, conditional access and threat protection that would otherwise be bought separately, and it addresses common routes into an organisation: stolen passwords, phishing and lost laptops. Kiosk and shared-device users may need only a frontline plan.
Can you buy Microsoft 365 for a lifetime? Show answer Hide answer
No. Microsoft 365 is sold only as a subscription, monthly or annually. The once-off alternative is Office 2024, a perpetual licence for one PC or Mac with the desktop apps but no business email, Teams or cloud services, and with security updates that end on a fixed date. Cheap "lifetime" keys sold online are usually grey-market licences that Microsoft can deactivate.
Do we need Microsoft 365 E3 or E5? Show answer Hide answer
You need E3 or E5 when a business plan would pass 300 users, or when you need Windows Enterprise, advanced compliance or advanced threat protection. E3 suits most staff in a larger organisation. E5 adds advanced security, identity protection, analytics and telephony, and can be reserved for high-risk roles such as administrators and finance staff. An assessment shows which mix protects you at the lowest cost.
Is Microsoft 365 cheaper paid monthly or annually? Show answer Hide answer
Annually. Microsoft charges more per user for a monthly term than for an annual commitment, and an annual term paid month by month costs a little more than one paid upfront. The trade-off is flexibility: on an annual term you can add seats but not remove them until renewal, so seasonal or project staff are better on monthly licences.
How much is Microsoft 365 in South Africa? Show answer Hide answer
Microsoft 365 in South Africa is billed in rand, per user per month, with VAT, at a price set by the plan, the term and any add-ons. Microsoft adjusts local prices from time to time, most recently for most business, enterprise and frontline plans from July 2026. Server Hub publishes current rand prices, and we quote licences together with the administration scope.
