Microsoft 365 is Microsoft's subscription suite: the Office apps, Exchange Online email, Teams, SharePoint, OneDrive and the identity and security tools around them. Arke Technologies (Pty) Ltd, in Johannesburg, supplies Microsoft 365 licences monthly or annually, and migrates, secures and administers tenants for organisations, public bodies and schools across South Africa.
Microsoft 365 is the current name for the subscription most people still call Office 365. Microsoft moved most Office 365 plans to the new name in 2020, but invoices, tender specifications and staff still use the older labels: Office 365, Office365, MS Office 365, MS365 and even "Microsoft 360" all mean the same service. It is a subscription that follows the user, not a boxed program installed once, and it sits within our business software service.
For an organisation, Microsoft 365 is four things at once:
Dynamics 365, sometimes filed under "Microsoft 365 Dynamics", is a separate family of finance, sales and service applications, licensed on its own; see ERP implementation and CRM implementation.

Microsoft licenses Microsoft 365 per user, in plan families built for different kinds of organisation. Most estates mix them: a finance team on the desktop apps, frontline staff on web and mobile, and a legal or compliance function on a plan with stronger information-protection tools.
| Plan family | Built for | What it includes, in outline |
|---|---|---|
| Business Basic, Standard and Premium | Organisations of up to 300 users (Microsoft's cap for business plans) | Basic: Office 365 email, Teams, OneDrive and the web and mobile apps. Standard: adds the desktop Microsoft Office 365 apps. Premium: adds Intune, conditional access and Defender for Business |
| E3 and E5 | Larger organisations, and those with heavier compliance duties | No user cap; enterprise identity, device and information-protection controls. E5 adds advanced threat protection, analytics and advanced eDiscovery |
| F1 and F3 | Frontline staff on shop floors, in field teams, clinics and contact centres | Teams, SharePoint and web and mobile access for shared or light use |
| A1, A3 and A5 | Schools, TVET colleges and universities | Education pricing, including a free web-based tier for eligible institutions |
| Microsoft 365 Apps for business or enterprise | People who need only the desktop apps | Word, Excel, PowerPoint and Outlook, without an Exchange mailbox |
| Exchange Online plans | Mailbox-only users | Office 365 email without the rest of the suite |
Two practical notes. Teams is sold separately on some plans, so compare quotes on the same basis. And the right mix changes as people change roles, so we review licence assignment at every monthly service review. Plan-by-plan detail sits in our guide to Microsoft 365 plans and what they cost to run; for choosing between suites, read Microsoft 365 vs Google Workspace.

Microsoft licensing pricing is per user per month, on a monthly or an annual term. A headline Microsoft Office cost, MS Office price or schedule of Office 365 fees tells a finance team little on its own; the useful comparison is what the Microsoft packages you choose cost to run over the contract term. Six things drive it:
We quote licences monthly or annually for the plan mix your assessment supports, and quote migration per project. Organisations that only need to buy Microsoft 365 will also find annual subscriptions in the Server Hub catalogue; managed IT pricing explains ongoing administration.

Microsoft 365 for business does not work like the boxed Microsoft Office package of old. There is no Microsoft 365 product key or activation key per user: an administrator assigns a licence to the person's work account, and the apps activate when that person signs in. Retail boxed or download subscriptions carry a single key that starts the subscription.
So treat offers of a cheap Microsoft Office 365 licence key, bulk Microsoft 365 product keys or "CD keys" for Microsoft Office 365 with caution. Keys sold far below the going rate are typically volume or education keys resold outside their terms; Microsoft can deactivate them without warning, and an organisation relying on them has no valid proof of licence when an audit comes. Software licensing and licence management keeps every vendor's licences compliant and on record. Free Microsoft Office 365 offers meant for students or personal use are no substitute either: their terms do not cover an organisation's staff doing its work.

We inventory users, mailboxes, licences, domains, devices, file shares and every system that sends email, and test the current platform against a security, backup and licensing baseline.

Domains, Entra ID users and groups, multi-factor authentication, conditional access, emergency administrator accounts held by you, and retention and sensitivity labels.

Mail and archives from on-premises Exchange, Google Workspace or hosted email; files into OneDrive and SharePoint. Moving Outlook to Office 365 means repointing profiles and importing old archives, with a pilot group first.

Rather than install Office 365 by hand, we push the Microsoft 365 Apps installer through Intune and enrol devices.

Joiners, leavers, licence changes and requests run under the SLA, with a monthly service review and written report.
Migrations fail on details. Printers, scanners and business systems that send mail need their SMTP settings for Office 365 changed, often to an authenticated connector, as Microsoft retires older sign-in methods, so we list every sender in discovery. Larger moves follow our data migration method.
Office 365 administration is the daily work that keeps a tenant secure and within budget. Acting as your Office 365 administrator, our team works in the Microsoft 365 admin centre (still called the Office 365 admin centre or admin portal by many administrators), the Exchange and Entra admin centres and Intune, and logs every change.

For staff, Microsoft 365 should be one sign-in. Whether they open the Office 365 portal from a bookmarked www address, the Microsoft 365 app on a phone or PC, or Outlook on the desktop, people sign into Microsoft Outlook 365, Teams and Microsoft Word 365 with the same work account and multi-factor authentication. Microsoft 365 online (Word, Excel and PowerPoint in the browser) opens from the same page. We set sign-in rules by risk, stricter for administrators and finance staff, and record them so an auditor can see who may reach what, and from where.

An administrator cancels a Microsoft 365 subscription in the Microsoft 365 admin centre, under billing; where a provider such as Arke supplies the licences, the provider cancels on your written instruction. Monthly subscriptions end with their billing period, and annual commitments run to the end of their term once the short window after purchase has passed. Export or migrate mail and files first, because Microsoft deletes the data after a retention period.
No. Business, enterprise and frontline plans are paid per user. Free web versions of Word and Excel are for personal use, eligible schools can use a free web-based education tier, and eligible nonprofits can apply for donated or discounted plans. We check eligibility before quoting, because the free tiers leave out the desktop apps and several security controls.
You can buy Microsoft 365 directly from Microsoft, from a licensing provider, or from Arke Technologies, which supplies licences monthly or annually alongside migration, security and administration under one SLA. Annual subscriptions are also listed in the Server Hub catalogue. Buying with administration means one supplier answers for both the licence and the way it is used.
Not per user. An administrator assigns a licence to each user, and the apps activate when that person signs in with a work account; a retail boxed or download subscription carries one key, used once to start it. We deploy the apps through Intune so every device gets the same version and settings. Cheap per-user keys sold online are a warning sign of grey-market licensing.
Microsoft 365 is the current name for most plans once sold as Office 365, and it adds device management and security to the Office apps and cloud services. Office 365 still names some enterprise and education plans. What matters in practice is the plan each user holds, because it decides their apps, mailbox, storage and security controls.
Yes. We migrate mail, calendars, contacts and files from Google Workspace, on-premises Exchange and hosted email into Microsoft 365, starting with a pilot group and ending with a planned cut-over. Discovery lists every system that sends email, so SMTP settings change in time. If you are weighing the move the other way, see our Google Workspace service.
Tell us how many users you have and what you run today. We will recommend a plan mix, a migration plan and an administration scope, in writing and priced, before you commit.
