Google Workspace for Education and Microsoft 365 Education give a school, college or university email, storage, classes and collaboration on its own domain; Microsoft 365 Copilot for education adds an AI assistant to Microsoft's apps. Arke Technologies advises on licensing, then sets up, migrates, secures and supports either platform for education institutions across South Africa.
Both give every learner and staff member an account on the school's own domain, with email, storage, documents, video meetings and a place to set and hand in work. Each has a no-cost edition for qualifying institutions, verified by the vendor at sign-up, and paid editions that add security, management and teaching tools.
Microsoft 365 Education, often still called Office 365 Education, O365 Education or MS Office 365 Education, includes Word, Excel, PowerPoint, OneNote, Outlook, Teams for Education, OneDrive and SharePoint, with accounts in Entra ID and school devices managed through Intune.
Google Workspace for Education, known until 2021 as G Suite for Education and sometimes called Google Suite for Education, includes Gmail, Drive, Docs, Sheets, Slides, Forms, Meet and Google Classroom, run from the Google Admin console alongside Chromebooks.
The benefits of either, set up properly: one account per person, created and removed centrally; work saved to the cloud, so a lost device or a power cut loses nothing; and security and retention controls a school can show its governing body. The platform is one part of our education IT services.

Microsoft 365 education licensing has three main levels, at academic prices below the commercial plans.
| Plan | Cost to the school | What it includes | Suits |
|---|---|---|---|
| Office 365 A1 | Free for qualifying institutions | Word, Excel, PowerPoint and OneNote on the web and mobile, Outlook email, Teams for Education, OneDrive and SharePoint | Schools where learners work in a browser |
| Microsoft 365 A3 | Paid, per user | A1 plus Microsoft 365 Apps for education (installable desktop apps), Windows Education, Intune device management and more compliance tools | Schools with Windows labs and desktop Office subjects |
| Microsoft 365 A5 | Paid, per user | A3 plus advanced security, compliance and analytics tools, and telephony features | Colleges, universities and school groups |
Three details change the sums. The student use benefit can extend A3 or A5 licences to students at no extra charge when an institution licenses its staff at that level. The Microsoft 365 education storage changes replaced unlimited storage with a pooled allowance per institution, so years of OneDrive files need retention rules. And a shared lab can be licensed per device, for example Microsoft 365 Apps for education on each lab device.
Microsoft Teams for Education pricing needs no separate line: Teams is included in the education plans, the free A1 among them. There is no separate Office 365 education discount code; the academic price is the discount, for verified institutions only.

Yes: Google Workspace for Education Fundamentals is free for qualifying institutions. Three paid options build on it.
| Edition | Cost to the school | What it adds | Suits |
|---|---|---|---|
| Education Fundamentals | Free for qualifying institutions | Gmail, Drive, Docs, Sheets, Slides, Forms, Classroom, Meet and the Admin console, with storage pooled across the institution | Most schools starting out |
| Education Standard | Paid, per learner | Security and analytics: the security centre, investigation tools, advanced device and app management | Schools that need stronger control and audit |
| Teaching and Learning Upgrade | Paid, per staff licence | Premium teaching features: larger Meet calls with recording and live streaming, more originality reports, Classroom add-ons | Schools that teach live online |
| Education Plus | Paid, per learner | Everything in Education Standard and the Teaching and Learning Upgrade | Colleges and school groups |
The Google Workspace for Education Fundamentals Google Meet limit on participants is lower than in paid editions, so schools that stream assemblies usually upgrade.
Microsoft 365 Copilot for education is Microsoft's AI assistant inside Word, PowerPoint, Excel, Outlook and Teams, grounded in the files, email and chats each user can already open. It drafts lesson plans, turns notes into quizzes and summarises staff meetings. Schools license Microsoft 365 Copilot for staff as a paid add-on at an education price; Copilot Chat, grounded in the web, comes with a school account.
The risk is oversharing. Copilot surfaces anything a user may open, so learner medical notes shared with the whole school become searchable in plain language. Before Copilot is switched on, we:
Google offers Gemini in Workspace for Education on a similar basis, and the same clean-up applies. We roll out either assistant under our Emergent Intelligence framework for responsible AI: AI recommends and people decide, audit logging is switched on so AI use can be reviewed, and we never train models on a school's data without explicit consent. See Microsoft 365 Copilot readiness and AI governance.

| Question | Microsoft 365 Education | Google Workspace for Education |
|---|---|---|
| Learner devices | Windows laptops and lab PCs, managed in Intune | Chromebooks, managed in the Google Admin console |
| Offline work | Full desktop apps on A3 and A5 | Browser-first, with offline mode for Docs, Sheets and Slides |
| Classes and assignments | Teams for Education and OneNote Class Notebook | Google Classroom |
| Administration office | A natural fit where finance and admin already run on Windows and Excel | Simple to run for a school with a small IT team |
| AI | Microsoft 365 Copilot and Copilot Chat | Gemini |
Choose the platform that matches your devices and your teachers' habits, not the longest feature list. Running Google for learners and Microsoft for the bursar's office also works, provided identities, sharing and backups are planned across both. See our Microsoft 365 vs Google Workspace comparison, our Microsoft 365 and Google Workspace services, and learner devices and Chromebooks.

Accounts created from SA-SAMS class lists, moved up a grade each January and closed when learners leave. Old G Suite for Education accounts, and consumer accounts teachers opened with a school email address, are brought under school control.

Mail, files and classes moved from servers, personal accounts, an old G Suite domain, or between Microsoft 365 and Google Workspace, with cut-over in the holidays. See data migration.
Multi-factor authentication for staff, admin roles split across named people, sharing rules by grade, safe search, retention and eDiscovery.
Where the licence includes them, we install the Office 365 Education desktop apps through Intune and keep every lab PC on the same version, with no manual installs.

Microsoft 365 Education training and Google Workspace for Education training for teachers, in short sessions built around real lessons.
A staff help desk under an SLA, with Google Workspace for Education support cases and Microsoft escalations handled by us.
Free Office 365 for teachers and students. Teachers and students at a qualifying school use Office 365 Education free on the web with their school email address. Google Workspace for teachers works the same way, through the school's domain rather than a personal Gmail address.
Office 365 for homeschool families. Education editions are for recognised institutions, so a family teaching at home usually needs a consumer Microsoft 365 plan, or accounts through a registered learning centre or online school.
Microsoft 365 for university students. Universities and TVET colleges usually license students through the institution, often under the student use benefit, so students sign in with an institutional account instead of buying Office 365 themselves. See IT for universities, TVET colleges and training providers.

We supply Microsoft 365 and Google Workspace licences through our software licensing service, monthly or annually, quoted in rand. For support, published South African managed IT rates run from about R180 to R400 per user per month (matnet.co.za, September 2026). Our guides to Microsoft 365 pricing and Google Workspace pricing cover the commercial plans.
Google Workspace for Education gives every learner and teacher a school account for email, storage, documents, video lessons and Google Classroom, managed centrally by the school. Teachers set, collect and return work in Classroom; administrators control accounts, sharing and Chromebooks from the Admin console; and work saved to Drive survives a lost device.
Yes, Education Fundamentals is free for qualifying schools, colleges and universities, with Gmail, Drive, Docs, Classroom, Meet and the Admin console. Education Standard and Education Plus are paid per learner, and the Teaching and Learning Upgrade per staff licence; they add security, analytics and premium teaching tools.
Partly. Office 365 A1 is free for qualifying institutions, with Office on the web and mobile, email, Teams and OneDrive. Microsoft 365 A3 and A5 are paid per user at academic prices and add desktop apps, device management and advanced security. The student use benefit can extend A3 or A5 to students at no extra charge.
Recognised schools, colleges and universities are eligible, and both vendors verify the institution before activating the education edition. In South Africa that typically covers registered public and independent schools, TVET colleges and universities. Teachers and learners qualify through their institution, not on their own, and we handle the verification during setup.
Google Classroom is one app inside Google Workspace for Education. Classroom is where teachers post work, collect submissions, mark and give feedback; Workspace for Education is the platform around it, with accounts, Gmail, Drive, Meet, security settings and device management. A school needs Workspace for Education to run Classroom with accounts the school controls.
Yes. Teachers at a qualifying school can use Office 365 Education free with their school email address, with Word, Excel, PowerPoint, OneNote and Teams on the web. Installable desktop apps need a paid plan such as Microsoft 365 A3. If the school has no education tenant yet, we set it up first, so teachers' accounts belong to the school.
Microsoft 365 Copilot for education is an AI assistant in Word, PowerPoint, Excel, Outlook and Teams that drafts and summarises using the files a user can already open. It is safe when permissions are right. Copilot cannot see what a user cannot open, but anything overshared, such as learner records, becomes easy to find. We clean up sharing, label sensitive data and pilot with a small group first.
The main disadvantage of Google Workspace for Education is that it works best online and in a browser, so subjects that need Windows-only software still need a Windows laptop or lab. Storage is pooled, not unlimited, and advanced features sit in paid editions. Microsoft 365 makes the opposite trade: more capability, more settings to manage.
