Google Workspace is Google's subscription suite for organisations: Gmail on your own domain, Drive, Meet, Calendar, Docs and the admin console behind them. Arke Technologies (Pty) Ltd, in Johannesburg, supplies Google Workspace licences monthly or annually, and sets up, migrates, secures and manages them for organisations, public bodies and schools across South Africa.
Google Workspace is the current name for what was G Suite, and before that Google Apps: a set of cloud apps that share one account per person and one admin console per organisation. It is one of the platforms in our business software service.
Is Google Workspace an app? It is a suite of them. Gmail, Calendar, Drive, Docs, Sheets, Slides, Meet and Chat run in the browser, each has a mobile app for Android and iOS, and Drive for desktop syncs files to Windows and macOS. Every Google Workspace application signs in with the same work account.
A Google Workspace account is not a personal Gmail account. It belongs to your organisation, on your domain, so the organisation owns the mailbox, the files and the right to close the account when someone leaves. An administrator can also add the organisation's own logo in the admin console, and supported apps show it to signed-in staff beside the Google Workspace logo.
The Google Workspace Marketplace adds third-party apps and add-ons to Gmail, Docs and Drive, such as e-signature, diagramming and CRM connectors. An add-on can be granted access to whatever its user can open, so we review the access each one requests before we allow it, and keep an approved list in the admin console.

Google Workspace for business is sold per user in editions. The right one depends on how many people you have and what your compliance duties require, and many organisations mix editions by role.
| Edition | Built for | What it includes, in outline |
|---|---|---|
| Business Starter, Standard and Plus | Organisations of up to 300 users (Google's cap for business editions) | Starter: Google Workspace email on your domain, Meet, Drive and the core apps. Standard: more storage space and meeting recording. Plus: Vault retention and eDiscovery, and advanced endpoint management |
| Enterprise Standard and Plus | Larger organisations and regulated work | No user cap; data-loss prevention and stronger security, compliance and admin controls |
| Essentials Starter | Teams that keep their existing email | A no-cost edition with Drive, Meet and the document apps, but no Gmail |
| Google Workspace for Education | Schools, colleges and universities | Education Fundamentals at no cost for qualifying institutions; paid editions add security, analytics and teaching tools |
| Google Workspace for Nonprofits | Registered nonprofit organisations | A no-cost edition for eligible organisations, with discounted paid upgrades |

Google Workspace is priced per user per month. The Google Workspace price on an invoice, and the cost of running the service, depend on five things:
Organisations that signed up years ago sometimes still budget from the G Suite charges and G Suite fees they remember; Google has since moved those legacy editions to current editions and current prices. A Google Workspace promo code can discount a new sign-up's first period, but for an organisation, who controls the account and the billing matters more than a first-year discount. We quote Google Workspace licences, monthly or annually, together with the set-up and administration scope. Our guide to Google Workspace pricing in South Africa covers each edition.

01.
We list users, mailboxes, domains and aliases, your DNS host, file shares and every system that sends email, and check the current platform against a security and backup baseline.
02.
Edition, licence term, migration plan and administration scope, priced and in writing before you commit.
03.
We verify your primary Google Workspace domain, add secondary Google Workspace domains and aliases, build organisational units and groups, and switch on 2-Step Verification before any data moves.
04.
Mail, calendars and contacts from Microsoft 365, Exchange or a hosted mail server; files into Drive and shared drives, with ownership and sharing mapped. Larger moves follow our data migration method.
05.
We change MX records at a planned time and set SPF, DKIM and DMARC so Google Workspace email is trusted and hard to spoof; see email security.

Training, documentation and the first monthly service review.
Google Workspace admin work happens in the Google Workspace admin console, and whoever holds the super administrator role controls everything in it. Acting as your Google Workspace administrator, our team works through named admin accounts with only the roles each task needs, while a super administrator account stays in your hands.
Joiners, movers and leavers, licence assignment, groups, organisational units and shared mailboxes.
2-Step Verification, security keys for administrators, suspicious sign-in alerts, and context-aware access on editions that include it.
External sharing rules, shared drives for teams, and ownership transfer when people leave, so files do not leave with them.
Retention rules, legal holds and eDiscovery on the editions that include Vault.

Chrome device management for Chromebooks and endpoint management for phones and laptops; see device and IT asset management.
Staff log requests with our service desk; we resolve them under the SLA and escalate to Google when the fault is on Google's side.
Workflow-based sessions on your own shared drives, calendars and processes, not generic feature tours.

Google keeps the service available; that does not replace your own backup of mail and Drive. See backup and disaster recovery.
Schools, TVET colleges and universities can use Google Workspace for Education, with Education Fundamentals at no cost to qualifying institutions and paid editions that add security, analytics and teaching tools. We set up learner and staff accounts in separate organisational units, apply age-appropriate sharing and Meet settings, manage Chromebooks through Chrome Education management, and handle learner and parent data under POPIA. See Google Workspace and Microsoft 365 for Education and learner devices.
Google Workspace for Nonprofits offers a no-cost edition, and discounted paid editions, to eligible organisations. Eligibility is confirmed through Google's nonprofit programme. Once an NPO is approved, we set up the account, migrate its mail and files, and keep donor and beneficiary data under proper access control; see IT for nonprofits and NGOs.

Both suites give an organisation email, calendars, file storage, meetings and admin controls. The practical differences:
| Question | Google Workspace | Microsoft 365 |
|---|---|---|
| Where people work | Browser-first; documents live in Drive | Desktop Office apps, plus web and mobile |
| Gmail | Exchange Online with Outlook | |
| Devices | Chromebooks through Chrome device management | Windows and macOS through Intune |
| Often suits | Teams that collaborate in shared documents; schools running Chromebooks | Teams built around Excel models, Outlook and Windows line-of-business software |
Which is cheaper depends on the edition each group of users needs, so compare the total over a term, not one plan's price. We supply and manage both; see our Microsoft 365 service and the full comparison of Microsoft 365 vs Google Workspace.
Not for an organisation's own email. Business and enterprise editions are paid per user. Essentials Starter is a no-cost edition without Gmail, Education Fundamentals is free to qualifying schools and universities, and eligible nonprofits can use Google Workspace for Nonprofits at no cost. A free personal Gmail account is no substitute, because the organisation does not control it.
Google Workspace costs a per-user monthly fee set by the edition, with a lower rate on an annual plan than on a flexible monthly plan. The total also depends on archived users, add-ons and administration; where administration sits inside a managed IT contract, published South African rates run from about R180 to R400 per user per month (matnet.co.za, September 2026). We quote after an assessment.
Yes. Arke Technologies supplies Google Workspace licences monthly or annually, with set-up, migration and administration under one SLA. You can also subscribe directly with Google. The difference is who configures, secures and supports the account, and whom your staff call when something goes wrong; through us, one contract covers all of it.
Neither is cheaper for every organisation; it depends on the edition or plan each group of users needs. A team that works in the browser can run on an entry edition of either suite, while a team that relies on desktop Excel and Outlook needs a Microsoft 365 plan with desktop apps. Compare the total over a term, including administration and backup.
For most organisations the real alternative is Microsoft 365, and the cheaper of the two depends on your plan mix. Email hosted on a web server costs less but brings no shared drives, meetings, device management or retention controls, so it suits only simple needs. We provide all three, including web and email hosting, and advise on the fit.
A super administrator cancels the subscription in the Google Workspace admin console, under billing; where a provider supplies the licences, the provider cancels on your instruction. On an annual plan the commitment stays payable to the end of its term. Before cancelling, export mail and Drive data, transfer file ownership and repoint the domain's MX records, because access ends at cancellation and the data is then deleted.
Your Google Workspace administrator is whoever holds an admin role in the admin console, and the super administrator controls everything. When we manage the account, our team works through named admin accounts with limited roles, and a super administrator account stays with a named person in your organisation, so you never depend on us to reach your own data.
Tell us your users, your domains and the platform you use today. We will recommend an edition, a migration plan and an administration scope, in writing and priced.
