Google Workspace pricing in South Africa: editions, storage and running costs

Last reviewed: September 2026, 15 min read

Google Workspace pricing is per user per month, set by the edition, which fixes the apps, storage and controls, and by the billing plan, flexible or annual. Budget for administration, security and backup as well. This guide explains the editions and cost drivers, and how Arke Technologies supplies and manages Google Workspace in South Africa.

Google Workspace pricing in brief

  • Per user, per month. Every edition is a subscription priced per user. The business editions (Business Starter, Standard and Plus) serve up to 300 users; Enterprise editions have no cap and are priced by quote (Google, September 2026).
  • One edition for everyone, as standard. A standard subscription applies one Business edition to the whole organisation, so you cannot put some users on Business Starter and others on Business Standard (Google, September 2026). Mixed editions are available only through some Google resellers, on Google's conditions.
  • Two billing plans. A flexible plan lets you add and remove users month by month; an annual plan costs less per user but commits you to a licence count for the year.
  • AI is now in the price. Google folded its Gemini AI features into the business and enterprise editions in 2025 and raised list prices at the same time.
  • Prices vary by country and currency, so a price quoted online may not be what your organisation is billed.
  • No-cost editions exist for qualifying schools, eligible nonprofits and teams that keep their existing email.

G Suite, Google Workspace and free Gmail: what you pay for

Google Workspace is the name Google gave G Suite in 2020, so G Suite pricing, GSuite price and Google Suite pricing all describe the same product. Organisations that signed up for the legacy G Suite Basic or G Suite Business editions have since been moved to current Google Workspace editions and current prices, so budgets built on old G Suite cost figures need updating.

Personal Gmail is not Google Workspace. Google describes Gmail as private and secure email at no cost, and for an individual it is. But a free account belongs to the person who opened it, uses a gmail.com address and gives your organisation no control over its data, retention or access. A Google Workspace account uses your own domain, belongs to your organisation and is governed from the Admin console, which is the point of paying for it.

Google Workspace Individual sits in between: a paid plan for one person that adds premium features to a personal Gmail address. It has no custom domain and no organisational administration, so it is not an option for staff.

Google Workspace plans and pricing: the editions compared

Google Workspace plans rise in steps, each adding storage, security and compliance controls to the one below it (Google, September 2026).

Google Workspace pricing: how much does it cost per user?

Every Google Workspace price is a rate per user per month, and three choices set it:

  • Edition. Each step up adds storage and controls. On a standard subscription Google applies one Business edition to everyone, so the needs of your most demanding users set the rate for the whole organisation. Some Google resellers can offer mixed editions, known as partial domain licensing, where Google allows it: it needs an annual plan, at least 15% of licences on the highest edition and no more than 300 Business licences in total (Google reseller terms, September 2026).
  • Billing plan. On the flexible plan you pay monthly and can add or remove users at any time, at a higher rate. On the annual plan, paid monthly or yearly, the rate is lower but the licence count is committed for the year: you can add users, not remove them, until renewal.
  • Discounts. Google sometimes offers new customers an introductory discount for their first year. Budget on the standard rate, because renewal is priced without it.

Enterprise editions are priced by quote, and Google's published list prices vary by country and currency. Most comparisons online quote Google's US pricing in USD, which does not tell a South African organisation what its own invoice will show. Compare like with like: the same edition, the same billing plan and the same currency, with VAT treated the same way. We quote Google Workspace licences, monthly or annually, together with the set-up and administration scope.

Google Workspace price increase in 2025

In January 2025 Google announced that its Gemini AI features, until then sold as a separate add-on, would be included in the business and enterprise editions, and it raised list prices at the same time. New customers paid the new prices from 16 January 2025; existing customers on the flexible plan moved from 17 March 2025, and those on annual plans at their first renewal after that date (Google, January 2025).

Two lessons follow for budgeting. Google changes prices when it changes what an edition includes, so an annual plan's fixed rate has real value. And an AI assistant you already pay for needs rules on what it may see and do, the same as any other tool with access to your data; see AI governance.

Google Drive storage pricing: what each edition includes

Storage explains many searches for Google Drive pricing. In Google Workspace, storage is pooled: each licence adds its allowance to one pool that the whole organisation shares, covering Gmail, Google Drive and Google Photos (Google, September 2026).

EditionPooled storage per user
Business Starter30 GB
Business Standard2 TB
Business Plus5 TB
Enterprise5 TB, with more on request

Personal Google Drive storage (GDrive) works differently. A free Google account includes 15 GB, and more is sold as a Google One plan for individuals, which is no way to hold an organisation's files, because the organisation does not control the account. For an organisation, Google Drive storage pricing is part of the Workspace licence. When the pool runs short, the usual answers are better housekeeping or a higher edition, and Enterprise customers can request more. Shared drives keep team files owned by the organisation rather than by individuals, which matters as much as the size of the pool.

Other costs: email, domain, website, devices and backup

  • Email. Google Workspace email pricing is the edition price: Gmail on your domain comes with every Business and Enterprise edition, and Google does not sell it on its own.
  • Domain. Google Workspace needs a domain you control. The domain price is separate from the licences and renews through whichever registrar holds it, so keep the registration in your organisation's name.
  • Website. Google Sites, included in the editions, builds simple websites and intranet pages at no extra cost; a public website usually needs hosting and design beyond that. See web and email hosting.
  • Devices. Chromebooks need a Chrome Enterprise or Chrome Education upgrade licence per device for central management; see learner devices.
  • Meeting rooms. Google Meet hardware for boardrooms carries its own licence.
  • Marketplace apps. Add-ons from the Google Workspace Marketplace are priced by their developers.
  • Backup. Google keeps the service available, but that does not replace your own backup of mail and Drive; see backup and disaster recovery.

Budgeting for Google Workspace in South Africa

  • Currency. Check which currency your account is billed in. If it is a foreign currency, the rand cost moves with the exchange rate every month.
  • VAT. Compare quotes with VAT treated the same way, and make sure invoices carry your VAT number so they support input tax claims.
  • Timing. An annual plan fixes the rate for its term, while a flexible plan picks up a price change sooner.
  • Growth. The business editions stop at 300 users; if you expect to pass that, price the move to Enterprise now.
  • Leavers. Keeping a former employee's mail and files for records uses a full licence unless you move them to a lower-cost archived-user licence, available on higher editions.
  • Shared addresses. Addresses such as accounts or info can run as Google Groups with a shared inbox, which need no licence of their own, and each user can have aliases at no extra cost.

The full cost of running Google Workspace

LayerWhat it coversHow it is usually priced
LicencesThe edition, billing plan and any add-onsPer user per month, flexible or annual
AdministrationUsers, groups, organisational units, sharing rules, Vault retention and leaversInside a managed IT fee per user per month, or by the hour
Security2-Step Verification, security keys for administrators, alerts, email authenticationInside the managed IT fee, or as a separate security service
Backup and recoveryIndependent backup of Gmail and Drive, with tested restoresPer user or per volume of data
Set-up and migrationDomain verification, account design, mail and file migration, trainingQuoted as a project

The licence is the visible line; the other layers decide whether the account is safe. Published South African managed IT rates, which normally cover far more than Google Workspace, run from about R180 to R400 per user per month (matnet.co.za, September 2026), with some providers listing R450 (MiBOT, September 2026). Where migration or set-up is billed by the hour, published rates for IT project work run from about R550 to R750 ex VAT (matnet.co.za, September 2026). At Arke Technologies, administration sits inside the managed IT fee per user per month, set after an assessment, and migrations are quoted per project; see managed IT pricing.

Choosing an edition: six questions

  1. How many users will you have in three years?

The business editions stop at 300.

  2. Do you need retention and eDiscovery?

Legal holds, PAIA requests and audits point to Business Plus or Enterprise, which include Vault.

  3. How much storage do people really use?

Measure current mailbox and file volumes before you settle on Business Starter.

  4. Which devices must you manage?

Laptops, phones and Chromebooks need endpoint management, which is fuller on the higher editions.

  5. Are you eligible for education or nonprofit pricing?

Confirm eligibility before you buy; see Google Workspace and Microsoft 365 for Education and IT for nonprofits and NGOs.

  6. Flexible or annual?

Annual suits a stable headcount; flexible suits staff numbers that change often.

Google Workspace or Microsoft 365 on cost?

The biggest structural difference is mixing. Microsoft 365 lets you give each role its own plan in one tenant, while a standard Google Workspace subscription applies one Business edition to everyone, and mixed editions need a reseller that offers partial domain licensing. An organisation with a few heavy users and many light ones may therefore pay less on Microsoft 365, and a browser-first organisation with similar needs throughout may pay less on Google Workspace. AI differs too: Gemini is included in Google's business and enterprise editions, while Microsoft 365 Copilot is a paid add-on.

How Arke Technologies supplies and manages Google Workspace

We supply Google Workspace licences, monthly or annually, and set up, migrate, secure and administer them under one service-level agreement (SLA) as part of our Google Workspace service.

  • Governance. Incidents are prioritised from P1 (critical outage) to P4 (low-impact request), with response and resolution targets agreed in your SLA, and a monthly service review covers licences, security alerts, sharing exceptions and changes.
  • Compliance. Mail and Drive hold personal information. We configure 2-Step Verification, sharing rules, retention and audit logs to controls aligned with ISO/IEC 27001 and document them for your Information Officer. Google Workspace's data-region settings offer the United States or Europe, not South Africa (Google, September 2026), so we record that transfer and its basis under POPIA section 72; see POPIA compliance.
  • Procurement. Arke Technologies (Pty) Ltd is a Level 1 B-BBEE contributor (135% procurement recognition; sworn affidavit available on request); company documents, our CSD supplier number and SARS tax compliance status are available on request. Schools, nonprofits, municipalities and public entities can buy by proposal and purchase order or through a tender response; national and provincial departments also follow the SITA Act.
  • Continuity. Your domain, data and super administrator account stay yours, and if you leave us we hand over admin access, licence records and documentation.

Frequently asked questions

How much does Google Workspace cost per user? Show answer

Google Workspace costs a monthly fee per user set by the edition, from Business Starter through Business Standard and Business Plus to Enterprise, with a lower rate on the annual plan than on the flexible plan. Google's list prices vary by country and currency, and Enterprise is priced by quote. We quote licences for your user count together with the administration scope.

What is the cheapest Google Workspace plan? Show answer

Business Starter is the cheapest business edition and the entry point for Gmail on your own domain, with 30 GB of pooled storage per user. Essentials Starter costs nothing but has no Gmail, and Education Fundamentals and Google Workspace for Nonprofits are free to eligible organisations. Because a standard subscription applies one Business edition to everyone, choose the edition your most demanding users need.

Is Google Workspace free for schools and nonprofits? Show answer

Yes, for those that qualify. Google Workspace for Education Fundamentals is free to qualifying schools, colleges and universities, and Google Workspace for Nonprofits offers a no-cost edition to eligible registered organisations, with discounted paid editions above it. Paid education editions add security, analytics and teaching tools. Google confirms eligibility, and we check it before quoting.

Is Google Workspace billed monthly or yearly? Show answer

Both are possible. The flexible plan bills monthly and lets you add or remove users at any time, at a higher rate per user. The annual plan has a lower rate and can be paid monthly or yearly, but commits you to your licence count until renewal: you can add users, not remove them. Choose annual for a stable headcount.

Did Google Workspace prices go up in 2025? Show answer

Yes. In January 2025 Google included its Gemini AI features in the business and enterprise editions and raised list prices at the same time; new customers paid the new prices from January 2025, flexible-plan customers from March 2025 and annual-plan customers at their next renewal after that (Google, January 2025). An annual plan holds its rate until renewal, which helps budgeting when prices change.

How much Google Drive storage do we get? Show answer

Google Workspace pools storage across the organisation: 30 GB per user on Business Starter, 2 TB on Business Standard and 5 TB on Business Plus and Enterprise, with more on request for Enterprise (Google, September 2026). The pool covers Gmail, Drive and Photos, so heavy users draw on the allowance of light ones. Personal Google One storage is for individuals, not organisations.

Can we buy Google Workspace through Arke Technologies? Show answer

Yes. Arke Technologies supplies Google Workspace licences monthly or annually, with set-up, migration, security and administration under one SLA. You can also subscribe directly with Google; the difference is who configures and supports the account, and whom your staff call when something goes wrong. Your domain, data and super administrator account remain yours either way.
