School management software for South African schools and colleges

School management software keeps learner records, admissions, attendance, timetables, fees, reports and parent communication in one system. Arke Technologies, in Johannesburg, helps South African schools, colleges and training providers choose it, implement it, connect it to SA-SAMS, accounting and Google or Microsoft platforms, and protect learner data under POPIA.

What is a school management system?

A school management system is the administrative software that runs a school: learner records and admissions, attendance, timetables, assessment and reports, fees and parent communication. In South Africa, where pupils are learners, it is also called learner management software, a term training providers use for tracking each learner's enrolment, assessments and results. Colleges and universities call it a student management system or campus management system (see IT for universities and TVET colleges).

It is not a learning management system. A school management system runs the school; a learning management system (LMS) runs the learning, with courses, assignments and online classes. A school usually needs both, connected, plus accounting software for the bursar and, in public schools, SA-SAMS, the South African School Administration and Management System, for official learner data.

Arke Technologies does not sell a school management package of its own, so we help you choose on merit, then implement, connect, secure and support whatever you choose as part of your school IT.

Student management system features to compare

Whether you call it learner management, student management system software or a campus management system, the features that matter are the same. Check each against how your school works today:

  • Admissions and registration. Online applications, documents, waiting lists and a student registration management system that turns an accepted applicant into a learner record without retyping. Admissions software for private schools adds deposits, interviews and sibling priority.
  • Attendance. Daily or period registers taken on a phone or tablet, late and absent alerts to parents, and reports for the governing body. Good school attendance software makes the register the single record, so the office never re-captures paper. At a college, student attendance software tracks attendance per module and flags students whose attendance puts them at risk.
  • Timetabling. The timetable drives registers, room bookings and calendars, so check how it imports and how a mid-term change flows through.
  • Assessment and reports. Marks, term reports and a student performance management system view of each learner's progress across terms.
  • Fees. Fee structures, sibling discounts, statements and a link to the accounting system (see fees, below).
  • Communication. A parent portal or student management app for notices, reports and statements, with every message logged against the learner.
  • Other modules. Transport, hostel, library, sports and maintenance requests; for maintenance, a dedicated maintenance management system (CMMS) may serve a large campus better than an add-on module.
  • Integration and data. SA-SAMS export, single sign-on with Google Workspace or Microsoft 365, class lists into the LMS, and an open export of the whole database of the student management system, so you are never locked in.
  • Security and POPIA. Role-based access, audit logs, multi-factor authentication for staff, encryption, and a written statement of where the data is hosted.

Registers on tablets need dependable school networks and Wi-Fi and managed learner and staff devices, where classroom management apps for teachers also live; we look at all three together.

Choosing school management software: cloud-based, free, low-code or custom

OptionSuitsWatch for
Cloud-based student management system (packaged, online)Schools and colleges that want a supported product with regular updatesWhere data is hosted, the operator agreement under POPIA, renewal increases, how you export your data
On-premises packageInstitutions with their own servers and IT staffBackups, patching, load-shedding and the cost of the server
Free student management software or a WordPress student management systemVery small schools, homeschool families, a pilotWho patches and supports it, and whether children's data is secured to POPIA standards
Low-code build, for example a Zoho student management systemA school already on Zoho with simple, specific needsPer-user licence costs, and dependence on one builder
Custom student management applicationColleges and school groups with processes no package fitsBuild and maintenance cost; ownership of the code and data

A free student management system can be the right start for a homeschool or a small learning centre, where homeschool management software mostly needs records, attendance, marks and a portfolio of work. For a registered school holding children's personal information, "free" moves the cost to hosting, security, support and POPIA risk. A student management system website built on WordPress needs the same patching and hosting discipline as any other site; see web application development.

Where no package fits, we build one: an online student management system for staff, a parent app on iOS and Android, and the PostgreSQL database behind them, with the code and data owned by you. An offline-first app captures data with no signal and syncs when it returns, the pattern a register app needs on a campus with patchy Wi-Fi. See mobile app development.

Timetabling software for schools

Timetabling software for schools solves a hard scheduling problem: every teacher, room, subject, period and learner subject choice has to fit without clashes. Some schools build the timetable in a dedicated package such as aSc Timetables, others in the timetable module of their school management system, and small schools sometimes manage with free scheduling software or a spreadsheet.

The tool matters less than what happens next. The timetable should flow into period registers, room bookings, Google Calendar or Microsoft Teams and the LMS without being retyped, and a mid-term change should reach all of them the same day. We map those flows and build the imports and integrations that keep them in step; see systems integration.

Managing school fees: fee management systems and accounting software

School fees are managed in the fee module of the school management system, in accounting software, or in both. The school management system knows the learner, the family and the fee structure; the accounting system holds debtors, the bank and the books. A fee management system that does not talk to the accounting system means double capture and statements that disagree.

We implement and support accounting software for the bursar's office, including Sage 50, Sage 200, Sage Business Cloud, Pastel Partner, Xero and QuickBooks, connect it to the school management system, and add online fee payments through gateways such as PayFast, Yoco, Paystack or Peach Payments. See accounting software and payment gateway integration.

How we deliver

  1. Discovery

We map how the school runs today, from application to final report, and where data is typed twice, and give you a written report of findings and requirements.

  2. Shortlist and demos

We shortlist packages against your requirements and script each student management system demo around your own scenarios, such as a mid-year transfer or a sibling discount, so vendors show what you need.

  3. Data migration

We clean, de-duplicate and map learner, family and fee records into the new database, and reconcile totals before and after. See data migration.

  4. Integration

SA-SAMS exports, accounting, single sign-on, class lists into the LMS and online fee payments.

  5. Training and go-live

Training for the office, the bursar and teachers, with go-live timed for a term break.

  6. Support

Day-to-day support under an SLA, with a monthly service review and report.

Governance, POPIA, procurement and continuity

  • POPIA. Learner records, marks, medical notes and parent contact details are personal information, and for a learner under 18 they are a child's personal information, which POPIA protects with additional conditions. We configure for data minimisation, encryption in transit and at rest, role-based access and audit logging, and check the vendor's operator agreement. See our POPIA compliance checklist and cybersecurity and POPIA for schools.
  • Governance and reporting. An SLA that fixes scope, response and resolution times, exclusions and term; a named service lead, escalation paths, change control, and a monthly report the principal or governing body can read. For boards we work to King IV Principle 12; where a provincial department or public entity is the buyer, to PFMA procurement and reporting disciplines.
  • Procurement fit. Level 1 B-BBEE contributor (sworn affidavit available on request), giving 135% procurement recognition; company documents, a bank confirmation letter, our CSD supplier number and SARS tax compliance status on request; SBD forms when a bid requires them. You buy through a proposal, then an SLA for support, a project quote for implementation, or our response to your tender. See company facts for procurement teams.
  • Continuity. The data is yours. We confirm you can export all of it in an open format, keep admin credentials in your name and document every integration, so you can change vendor or provider without starting again.

Frequently asked questions

Which software is best for school management? Show answer

The best school management software is the one that fits your school's size, type and existing systems, not the one with the longest feature list. Compare admissions, attendance, timetabling, fees, reports, parent communication, SA-SAMS export, POPIA controls and data export. Run scripted demos with your own scenarios, and ask for the total cost over three years before you sign.

What software do schools commonly use? Show answer

A typical South African school runs several systems: a school management system for learner administration, SA-SAMS for official returns in public schools, accounting software such as Sage, Pastel or Xero for fees, Google Workspace for Education or Microsoft 365 Education for email and documents, a learning management system and often a timetabling package. The real work is making them share data.

What software can I use to manage school fees? Show answer

You can manage school fees in the fee module of a school management system, in accounting software such as Sage, Pastel Partner, Xero or QuickBooks, or in both connected together, which avoids double capture. The school management system holds the learner and fee structure; the accounting system holds debtors and the bank. Online payment through a gateway such as PayFast or Yoco reduces cash handling.

What is the best LMS for schools, and which is easiest to use? Show answer

The best LMS for a school is usually the one that matches the platform its staff already use: Google Classroom for a Google Workspace school, Microsoft Teams for Education for a Microsoft 365 school. Those are generally the easiest to adopt. Moodle is more flexible and suits colleges with structured courses, but it needs hosting and administration.

Is there free student management software? Show answer

Yes. Free and open-source student management software exists, including plugins for WordPress, and it can suit a homeschool, a small learning centre or a pilot. For a registered school the software is only part of the bill: someone must host it, patch it, back it up, support staff and secure children's personal information under POPIA. Price those before choosing free.

Can you give us a student management system demo? Show answer

Yes: we arrange and script student management system demos from the vendors on your shortlist, since we sell no package of our own. Each demo is built around your scenarios, such as a mid-year transfer, a sibling discount or a report-card run, and we score each one against your written requirements so the decision rests on evidence, not on the slickest presentation.

Can school management software work with SA-SAMS? Show answer

Yes, if the package supports SA-SAMS exports or imports, and that is one of the first things to test in a demo. We set up and check the data exports and integration between SA-SAMS and your school administration system, so learner records are captured once and reconciled rather than typed into two systems and left to drift apart.
